Review a team's compensation

This article is for reviewers assigned to review their team's compensation in Workleap Compensation. Learn how to access a comp review, make updates, and submit it for approval below.

Access a compensation review

When a comp review cycle launches:

  • You receive an email inviting you to begin your review.

    • You can click the email link to open the review in Workleap Compensation.

To access a comp review in Workleap Compensation:

  1. Log in to Workleap Compensation.

  2. Select Comp Reviews from the left-hand menu.

  3. Select View next to the review cycle you want to open.

  4. Click on a team with To Review status.

If you manage multiple teams, you can switch between them from the Teams list.

Team view

The team review page displays:

  • The status of each team (e.g., To Review, Submitted, etc.).

  • The employees included in the review.

  • Your team’s budget and how much of it is spent.

  • An approval chain showing who reviews and approves.

As the team's reviewer, you are the first person in the comp review approval chain. In the Approval Chain column, you can see how many others must approve your compensation changes before they are finalized. In some cases, the reviewer might be the only step in the approval chain.

Use filters in the topbar to show employees by:

  • Job title.

  • Job function.

  • Department.

  • Pay zone.

  • Etc.

You can also:

  • Collapse the budget panel.

  • Toggle between local and planning currencies.

  • Select an employee to open their full compensation details.

Columns

Comp review data is broken up into many different columns. When you open a team, some columns are expanded by default.

To adjust which columns show on the comp review form, select the columns icon in the upper right-hand corner of the employee list. Check the box next to any data columns you want to show, and uncheck the box next to any columns you want to collapse.

Note: Expanding and collapsing columns only affects your view of the comp review data.

Tip: The Gap to Band Minimum column shows how far below employees are from their pay band minimum pay.

Suggest compensation changes

Some of the main fields where you can suggest pay changes are:

  • Base Pay Change

  • Variable Pay Change (if applicable).

  • Promote (if applicable).

  • Bonus Plan Payout (if applicable).

  • One-time Bonus (if applicable).

As you update the compensation fields, the app shows the percentage increase based on their current compensation. The budget panel also updates to reflect your changes.

Base Pay Change

Use this field to suggest salary increases.

  • You can enter the change as either an amount or a percentage.

  • If pay guidelines are set, they appear at the top of the page.

  • Changes outside of guidelines are flagged as exceptions.

    • Exceptions show to subsequent approvers in the approval chain.

    • You can leave notes to justify exceptions if desired.

  • The new base pay and budget impact update automatically.

Variable Pay Change

Use this field to update incentive-based compensation (e.g., commissions or bonus targets).

  • If no change is needed, enter 0.

  • Do not leave the field blank.

Promote

To suggest an employee promotion:

  1. Click the star icon in the Promote column or in the top bar.

  2. The Promote Employee page appears, showing an overview of the employee’s compensation and role.

  3. Use the drop-downs as needed to update the employee's department, job title, job track, and job level.

  4. If the promotion is a lateral move (i.e., the employee is changing to a different job title at the same level as their previous job), check the box.

  5. Adjust base and variable pay as needed.

    1. You can see the new job title’s pay band (if applicable).

  6. Click Save Promotion to save your suggestions and close the form.

If the desired job title does not exist yet, ask your organization's Executive to add the new job mapping in Workleap Compensation.

Note: Promotions must be enabled in the comp review for the option to appear on the review form.

Bonus Plan Payout and One-time Bonus

If enabled, you can suggest changes to an employee's:

  • Bonus Plan Payout: Payouts based on structured bonus plans.

  • One-time Bonus: Lump sum bonuses.

Notes and Activity Log

  • Use Notes to explain decisions or provide context.

  • Notes are visible to others involved in the review.

  • All actions are recorded in the activity log as a full audit trail (next to the notes icon at the beginning of the Job Details section).

Finish a review

After you are done suggesting pay changes for an employee:

  1. Click the Reviewed checkmark in the first column.

  2. The checkmark turns green to confirm the record is marked as reviewed.

  3. Repeat the previous steps until all your team's employees are marked as Reviewed.

Note: To mark an employee as reviewed, you must have entered a value in all the mandatory fields.

To edit a reviewed employee:

  • Click the green checkmark to uncheck the box.

  • Make your changes.

  • Recheck the checkmark.

To mark all employees in a team as reviewed:

  • Select Mark All as Reviewed in the top-right corner.

Submit a comp review for approval

Once all employees are marked as reviewed:

  1. Click Submit in the top-right corner.

  2. Confirm the submission.

After submitting:

  • The review becomes read-only.

  • The team’s status changes from To Review to Submitted in the comp review.

  • The next person in the approval chain is notified to review your suggestions.

Important: Submissions are final. You cannot make changes after submission.
