Importing Variable Pay and Bonus Target data

You can upload Variable Pay and Bonus Target values in Workleap Compensation using a OneSchema import.

Note: This process replaces the previous method of sending spreadsheets to the support team.

Where to upload the data

You can access the import feature from the Configuration page.

  • Go to Configuration > Variable Pay & Bonus Target.

  • This page appears after Performance and before Bonus Payout History in the navigation menu.

  • The page header is Variable Pay & Bonus Target.

  • The container title is Manage Variable Pay & Bonus Target Data.

  • The description reads: Import Variable Pay and/or Bonus Targets for active employees.

Available actions

  • Click Export Variable Pay & Bonus Target to download a spreadsheet of current data.

  • Click Import Variable Pay & Bonus Target to upload data using OneSchema.

Exporting data

The exported spreadsheet includes:

  • All active employees.

  • All jobs with valid, effective dates.

  • Any existing Variable Pay or Bonus Target values.

  • Employee names for easier reading (these are not used in the upload process).

Records are sorted first by employee email (alphabetically), then by effective date (from newest to oldest).

Import requirements

You can upload new or updated values using the exported file or a template that follows the same structure. The following fields and rules apply:

Required fields

  • Employee Work Email: Must match an active employee.

    • Error: Employee Work Email not found or belongs to an inactive employee.

  • Effective Date (YYYY-MM-DD): Must match an existing job.

    • Error: Employment for employee does not exist for this date.

  • Variable Pay or Bonus Target: At least one must be included.

    • Error: Variable Pay or Bonus Target must be entered.

Optional field

  • Bonus Plan Name: Can be added if a Bonus Target is included.

    • Error: Bonus Plan Name cannot exist without a Bonus Target value.

Validation rules

  • Each combination of Employee Work Email and Effective Date must be unique.

    • Error: Multiple entries for employee with the same effective date.

  • You can’t include a Bonus Target without specifying a currency or percentage.

    • Error: Bonus Target must indicate a currency or %.

  • Variable Pay values cannot include a percentage symbol (%).

    • Suggested improvement: treat Variable Pay values with a % as invalid.

Overwrite behavior

If a value already exists for the same employee and job effective date:

  • A soft warning appears: Warning: Proceeding will overwrite previously uploaded values for this effective job.

  • The new data will overwrite the previous value.

Deleting values

To remove a record:

  • Set Variable Pay to 0.

  • Set Bonus Target to 0 or 0%.

Sync behaviour with integrated systems

If your account uses a custom table integration for Variable Pay or Bonus Target:

  • Manual uploads will overwrite existing values.

  • If the sync runs after a manual import, it will overwrite the manual values for the employee's latest job.

Note: Future updates will prevent users from uploading data if an integration is active for these fields.
