How do I change someone's role in Workleap?

Give or remove the Administrator, Executive, or Collaborator role for one person or several. For Administrators and Executives.

Use this article to give or remove the Administrator, Executive, or Collaborator role for one person or several people at once. Workleap grants manager access automatically from reporting lines, so you don't change it here.

Note: Administrators and Executives can change roles. Only Administrators can give or remove the Administrator role. To learn what each role can do, see What can each role see and do in Workleap?

Before you start: log in to Workleap with the Administrator or Executive role.

Change one person's roles from the people list

Changing roles from the Manage people list is the fastest way to update one person.

  1. Log in to Workleap and go to Org settings > People > Manage people.

  2. Open the menu at the end of the person's row and select Manage permissions.

  3. Select or clear Admin, Executive, or Collaborator. Everyone keeps standard employee access, whatever you select.

  4. Select Update permissions.

A confirmation appears: Permissions updated. The person's new roles show in the Roles column.

Change one person's roles from their profile

Changing roles from a person's profile lets you review their details and roles in one place.

  1. Log in to Workleap and go to Org settings > People > Manage people.

  2. Select the person's row to open their profile.

  3. Open the Permissions tab.

  4. Select or clear Admin, Executive, or Collaborator.

  5. Select Save changes.

A confirmation appears: Changes saved. To undo your changes before saving, select Discard.

Change roles for several people at once

Changing roles in bulk applies the same role changes to everyone you select.

  1. Log in to Workleap and go to Org settings > People > Manage people.

  2. Select the checkbox next to each person.

  3. Select Manage permissions in the bar at the top of the list.

  4. Select or clear Admin, Executive, or Collaborator.

  5. Select Update [number] people.

A confirmation appears: Permissions updated for [number] people.

If only some of the selected people have a role, its checkbox shows as partly selected. If you leave it that way, each person keeps their current access for that role. Select it once to give the role to everyone, and again to remove it from everyone.

Your own account and people without a seat are skipped, even if you selected them.

Give someone manager access

Manager access is granted automatically when at least one person reports to someone. In the permissions options, Manager shows an Automatic badge and can't be selected.

To give someone manager access, set them as the manager of at least one person. See How do I add people to Workleap? To remove manager access, assign their direct reports to someone else.

Limitations

  • You can't change your own roles, even as an Administrator. Ask another Administrator or Executive to do it.

  • Only Administrators can give or remove the Administrator role. For Executives, Admin is locked and shows Only Admins can change this.

  • Your organization must always have at least one Administrator and one Executive. A change that would remove the last one doesn't go through.

  • People without a seat can't have roles.
