Workleap user provisioning makes it easy to integrate your Microsoft 365 organization into Workleap.

Once integrated, Workleap pulls the following data from Microsoft 365 every 24 hours and updates your account accordingly:

  • Added and removed users (including contractors and temporary employees).

  • First names, last names, emails, profile pictures, and job titles.

Note: You must be an Administrator in both Workleap and your Microsoft 365 organization to link your accounts.

Note: You can only have one active user provisioning integration at a time in Workleap.

Set up a Microsoft 365 integration

To set up a Microsoft 365 integration:

  1. Open Settings and select Provisioning from the side menu.

  2. Select Connect next to Microsoft 365.

  3. Select Connect to your Microsoft 365 organization.

  4. Enter the requested authentication info to connect to your Microsoft 365 organization.

    • Be sure to accept the requested permissions to Workleap when asked.

    • The time it takes to establish a connection varies greatly depending on your organization's size.

  5. When the connection between Workleap and Microsoft 365 is established, you'll be taken to the integration configuration page.

Important: To sync your Microsoft 365 data, you must give Workleap access to the following scopes when asked while setting up a connection:

  • Maintain access to the data you have given access to.

  • Read custom security attribute assignments.

  • Read custom security attribute definitions.

  • Read all groups.

  • Read users' full profiles.

Configure a Microsoft 365 integration

See the sections below to configure your integration. When finished, select Save configurations to save your choices. Your saved configurations will apply to the next daily sync with Workleap.

Tip: Don't want to wait? To start a sync immediately, select Start sync now in the Your sync is pending message that appears after you save new configurations.

You're connected to Microsoft 365

Here, you can see the connection status of your Microsoft 365 integration. If you want to disconnect it, select the trashcan icon. You can also select Replace with another Microsoft 365 organization to change the active Microsoft 365 organization.

Note: Disconnecting a Microsoft 365 integration won't remove any user data already in your Workleap account.

Choose members to import

Filter by group membership

  • Everyone in my Microsoft 365 organization—If selected, Workleap syncs your complete user list from all your Microsoft 365 groups daily.

  • Everyone in the following Microsoft 365 groups - If selected, all users from the specified Microsoft 365 groups are synced daily with Workleap. To specify a Microsoft 365 group, start typing the group's name in the text box and select it from the drop-down list that appears.

Configure property mapping

Map your Workleap properties with Microsoft 365 properties to keep everything in sync.

Default properties

The following default properties are premapped to Workleap:

  • User name.

  • Email address.

  • Profile picture.

  • Hire date.

  • Direct manager.

These properties cannot be deleted, hidden, made required, or manually edited.

Important: The Reporting Manager property from Microsoft 365 determines a user's Direct Manager in Workleap. Direct Managers affect Pingboard org chart layout and manage Performance reviews for their direct reports.

Note: If deleted in your Microsoft 365, the default properties are not deleted in Workleap. However, that data will no longer be updated in daily syncs.

Custom properties

Select the drop-down in the left column to select a Microsoft 365 property to map to a Workleap custom property in the right column. Activate the sync toggle to set a mapping between the two.

Note: Workleap custom properties only appear in the property mapping interface if you have already created them on the Properties page.

Map your teams

Activate the toggle to map your Microsoft 365 groups to your Workleap Teams. When you map a Microsoft 365 group to a Team, users from the selected group(s) will automatically be added to or removed from that team in the next daily sync.

To map a group to a Team, select the drop-down in the Microsoft 365 group column and start typing the desired group's name. When it appears, select the group from the list.

Note: You can map multiple Microsoft 365 groups to the same Workleap Team.

View sync history

Your sync history shows a log of your active Microsoft 365 integration's daily syncs.

To access your Microsoft 365 integration's sync history:

  1. Open Settings and select Provisioning from the side menu.

  2. Select View settings next to Microsoft 365.

  3. Select View sync history in the upper right-hand corner.

    • You must have an active Microsoft 365 integration for the View sync history button to appear.

View a sync report

Sync reports show an in-depth breakdown of every individual sync action from a specific daily sync. Select an entry from your sync history to open the sync report for that date. Select Add filter to filter the report by outcome or data that changed since the last sync.

Tip: The sync report's Details column describes each sync action. If a sync action fails, check here to see what went wrong.

Note: If Workleap is actively syncing with Microsoft 365, the sync status shows as pending. You can't view or export a sync report until the sync is complete.

Export a sync report

You can export sync reports as a CSV file. To do so, navigate to the sync history page and select Export next to the sync report you wish to export.

Will my users get a notification?

Activating a user provisioning integration won't cause Workleap to send any notifications to your users. However, if you've enabled the Once users are created, automatically invite them to join Workleap setting during the Microsoft 365 integration setup, all users created through the daily sync will receive a Workleap invitation email.
