Import performance ratings

You can bring employee performance ratings into Workleap Compensation in two ways: by uploading an Excel file, or by syncing them directly from Workleap Performance. These ratings can be referenced in compensation reviews and tied to pay guidelines.

To begin, go to Configuration in the navigation menu, then select the Performance tab.

Which method should I use? Use the Excel upload if you manage performance ratings outside of Workleap, or need a one-time/bulk import. Use the Workleap Performance sync if your organization also uses Workleap Performance — it pulls ratings directly from a completed review cycle, so there's no manual data entry or file to maintain. The sync option only appears if your account has Workleap Performance active.

Method 1: Upload performance ratings from Excel

  1. On the Performance tab, find the Performance Rating card and click Import Performance Ratings.

  2. Follow the in-app steps below to complete the process.

Step 1: Download the import template

Download the template provided in the platform. It includes two tabs:

  • Performance Rating Setup

  • Performance Rating Import

Step 2: Set up rating descriptions

In the Performance Rating Setup tab:

  • Fill in the Rating Description fields for each performance rating number.

  • Only delete rating numbers that are not applicable.

Caution: Do not delete rating numbers you plan to use.

Step 3: Add employee ratings

In the Performance Rating Import tab:

  • Employees are matched by their work email in Column B — make sure it matches the email on their Workleap Compensation profile exactly.

  • Enter the rating in Column E for each applicable employee. You can enter a whole number (e.g. 3) or, if your rating scale supports it, a decimal value (e.g. 3.5) — as long as it falls within your rating scale's minimum and maximum.

  • Enter the effective date of the rating in Column F using the format YYYY-MM-DD.

Step 4: Upload the template

  1. Click Select Template and upload your completed import file.

  2. Click Next to continue.

Step 5: Confirm and upload

The confirmation screen will show the total number of performance ratings ready to import.

  • Review the summary. Rows with an unrecognized email or missing effective date are flagged and skipped — everything else will be imported.

  • Click Upload Ratings to complete the import.

Method 2: Sync performance ratings from Workleap Performance

If your organization uses Workleap Performance, you can pull ratings straight from a review cycle instead of preparing a file manually.

Step 1: Start the sync

  1. On the Performance tab, find the Workleap Performance card and click Sync Data.

Step 2: Choose the rating source

Select which review cycle to sync from, then choose what the rating should be based on:

  • Review score — the employee's overall weighted score from the review cycle.

  • Question rating — the employee's average score on a specific rating-scale question from the review.

Step 3: Set the effective date and confirm

  1. Choose the effective date to apply to the synced ratings.

  2. Review the summary and confirm to complete the sync.

Note: A sync pulls a snapshot of scores at the moment you run it — it does not update automatically if scores change afterward. Run the sync again to refresh the ratings.

Decimal ratings and rounding

Performance ratings can include decimals (e.g. 4.5), from either an Excel upload or a Workleap Performance sync, as long as the value falls within your rating scale's range.

Compensation guidelines and pay matrices are built on whole-number rating tiers. When a decimal rating is used in a guideline lookup, it's rounded to the nearest whole rating according to your account's Rating Rounding Mode, configured on the same Performance tab:

  • Round to nearest (default)

  • Round down

  • Round up

If an employee has ratings from both methods

Ratings are matched by employee and effective date. If you import a rating for an employee on a given date, and later sync or upload another rating for that same employee and date, the newer one replaces the older one — the most recent import or sync always wins.
