Workleap Administrators can manually update a user's email address in a user's profile in Settings or via bulk provisioning, provided all the prerequisites below are met.
Prerequisites
The option to manually update an email address is available only when all of the following conditions are met.
Your Workleap account must:
Not have an active user provisioning integration.
Any manual updates are overwritten by HRIS integrations when synced.
The user must:
Be in a Created, Pending, or Active status.
Not be a non-seat user.
Not be an Administrator.
Not belong to multiple workspaces.
The new email address must:
Be in a valid format.
Not already be associated with another user.
If the option to update the email address is not visible on a user's profile, one of the conditions above is likely not met, or your organization has an active user provisioning integration.
Update a user's email address
Workleap Administrators can manually update user emails using the following methods.
Through the user's Workleap profile:
In Workleap, go to Settings > Users.
Find and select the user whose email you want to update.
In the Access tab of the user's profile, locate the email address field and select it.
Enter the new email address and confirm the change.
A confirmation link is sent to the new email address. The user must click the link to complete the update.
A notification is also sent to the current email address to inform the user of the request.
The email address is updated only after the confirmation link is clicked. The following safeguards apply:
The confirmation link expires after 24 hours.
Only one update request can be pending at a time. Submitting a new request cancels any previous pending request.
Through bulk provisioning:
In Workleap, go to Settings > Bulk provisioning.
Select Download file to download the import file.
Open the downloaded XLSX file in a spreadsheet editor such as Microsoft Excel.
Find the row of the user whose email you want to update.
Update the Email column value as needed.
Repeat steps 4 and 5 for all users whose email you wish to update.
Save the import file and re-upload it into Workleap.
