User management methods

Workleap Settings

Updated this week

Workleap offers numerous ways to import and manage users and groups based on your organization's needs, technical resources, and preferred level of automation.

These include:

  • Automated methods

    • HRIS integrations.

    • Google Workspace, Microsoft 365, and Slack integrations.

    • API provisioning setups via the Workleap API.

  • Manual methods

    • Manual user management via the interface.

    • Excel file-based bulk provisioning imports.

Note: Only Admins can edit automated integration settings. Admins and Executives can access both manual methods.

Automated methods

Automated user management methods sync user data between Workleap and external systems. Though they require some initial setup, these methods typically need very little upkeep after implementation.

For most organizations, automating user provisioning is key to getting the most out of Workleap products.

Integrations

Workleap supports various integration types that allow you to automatically sync user data from your existing tools. Create and map custom fields and role equivalents to tailor your integration to your needs.

HRIS integrations

HRIS integration syncs employee data from your HR system (e.g., BambooHR, Dayforce, Hibob, etc.) to Workleap.

Tip: See our ever-expanding list of supported HRIS.

Google, Microsoft 365, or Slack integrations

Workleap can sync user and team data from platforms like Google Workspace, Microsoft 365, or Slack.

Workleap API integrations

API provisioning

Set up an API-based user provisioning workflow using the Workleap API. API setups let you customize and automate Workleap user provisioning even if your organization does not use one of our supported HRIS, Google Workspace, Microsoft 365, or Slack.

Note: Choose between a CSV or JSON-based workflow.

Workleap API user provisioning endpoints

In addition to the provisioning endpoints, the Workleap API also supports group, user, and attribute endpoints that you can use for one-off changes or as part of a fully customized user provisioning workflow.

Manual methods

Manual user provisioning methods let you add, update, or remove users directly from Workleap. These methods are ideal for making quick, one-off changes.

Workleap Settings

Admins and Executives can manually manage users from Workleap Settings.

  • Create, invite, deactivate, or delete users (Settings > Users).

  • Assign roles like Collaborator, Direct Manager, or Executive (Settings > Users).

  • Create and manage teams and segments (Settings > Teams or Segments).

  • Create and edit user properties (Settings > Properties).

Bulk provisioning

Bulk provisioning lets you apply a large batch of updates at once by downloading an Excel file with your org's user data, making updates, then re-uploading the file to Workleap.
