Review locking: close each review on its own deadline

Learn how reviews in hire-date review cycles lock automatically after their due date, how to give a reviewer more time, and what happens to a locked review.

In Workleap Performance, reviews in hire-date review cycles can lock automatically a set number of days after their due date. Each review closes on its own date, and you can give a specific reviewer more time.

What review locking does

A locked review is final: it can no longer be started, answered, or submitted.

A review locks on its lock date. The reviewer can answer up to the day before. The last day to answer is:

  • The review's due date

  • Plus the number of days late submissions are accepted for

  • Plus any extra time given to that reviewer

For example, with a due date of October 10 and late submissions accepted for 5 days, the reviewer can answer until October 15 and the review locks on October 16.

Note — Review locking is available only in review cycles whose Trigger type is Hire date. In a Focal review cycle, lock the whole review cycle instead.


How to choose when reviews lock

  1. Log in to Workleap and go to Performance.

  2. Open the review cycle and go to the Schedule section.

  3. Under Late submission, choose one option:

    • Not accepted: each review locks the day after its due date.

    • Accepted for: enter the number of Days after the review is due. After that, the review locks and becomes read-only.

    • Accepted indefinitely: reviews never lock. You can close and lock the review cycle yourself.

  4. Save the review cycle.

Important — You can change this setting after launch. Every in-progress review's lock date moves with it, so a change can reopen or lock reviews immediately.


How to give a reviewer more time

  1. Log in to Workleap and go to Performance.

  2. Open the review cycle and find the reviewee.

  3. Select Update reviewers and deadlines from the reviewee's menu or from the top of their review.

  4. In the Locks on column, pick a new date for each reviewer who needs more time.

  5. Save your changes.

  • A new date replaces the previous one.

  • A new date reopens a review that had already locked on its own date.

When more time can't be given

  • The review cycle accepts late submissions indefinitely. Update reviewers and deadlines then shows as Update reviewers.

  • The whole review cycle is locked.

  • The reviewee has already acknowledged their shared reviews.


How locks work on manager reviews

Each reviewer has their own lock date. On a manager review, the reporting manager and each temporary manager have separate lock dates, so giving one more time leaves the other locked.

A reviewer added after launch, including a replacement manager, starts on the review cycle's default lock date.


What happens to a locked review

  • It shows as Not submitted in the review cycle's progress and in the reviews list.

  • It stays visible, read-only, in the review cycle details, review pages, summaries, and exports.

  • It no longer appears in to-dos, nudges, or reminders.


Which notifications review locking sends

When a review locks:

  • Self, peer, and upward reviewers receive an email.

  • Managers see their reports' locked reviews in their daily digest.

  • No email is sent when the whole review cycle is locked or when the reviewee acknowledges their reviews.

When a reviewer is given more time:

  • Each reviewer who gets more time receives an email with their new lock date. The person who gave the extra time doesn't receive one.

  • No email is sent if the reviewer already had extra time that hadn't run out yet, or if they submit their review before the email goes out.


Who can see and manage review locks

  • Executives and Collaborators can choose when reviews lock and give more time to any reviewer.

  • Direct Managers can give more time to the reviewers of reviewees in their reporting line.

  • Temporary managers can give more time to the reviewers of the reviewees assigned to them.

  • Employees see whether a review is locked. The lock date is shown only to Executives, Collaborators, the reviewee's reporting-line managers and temporary manager, and the review's author.
