Seamlessly switch between AI-assisted and manual setup for maximum efficiency and control. See the sections below for step-by-step help creating your next performance review cycle.
Note: Only Executives and Collaborators can create, edit, delete, or duplicate a review cycle.
Create a cycle
Step 1: Add context
Open Workleap Performance.
Select Review cycles from the side menu.
Select Create a cycle.
Do 1 or more of the following to add context for your review cycle:
In the text field, enter a purpose for the review cycle (e.g., "Mid-year check-in focused on company values").
Select a cycle suggestion tile.
Upload a file (or files) for context.
Note: If you'd rather set up your cycle manually, select Skip to manual setup.
Cycle suggestions
Review cycle suggestion tiles are based on:
Past Workleap Performance cycles.
Your organization’s size and name.
Industry best practices.
Tip: Refresh the cycle suggestion tiles to explore different possibilities.
Files
You can upload up to 5 files to support your request. Common files may include:
Company values documents.
Leadership frameworks.
Role descriptions.
Performance templates.
Performance questions exported from another application.
Accepted file types are:
TXT
CSV
Microsoft Word
Microsoft Excel
Microsoft PowerPoint
Image files
PDF
Step 2: Review the generated cycle
Performance generates a complete review cycle draft, which includes:
A cycle title and description.
Review types (i.e., self, manager, or peer).
Section titles and descriptions.
Question sets and types (text, rating, or multiple choice).
Tip: Select Preview form at any time to see how participants will see the review form.
Step 3: Refine using follow-up prompts
Refine the review cycle by typing follow-up requests like:
"Make the questions more focused on development."
"Use a more formal tone."
"Make it simpler to answer and review."
Keep entering follow-up prompts until you have the desired result. You can also upload more files to add supporting data for your request.
Tip: Don't like how a prompt changed your review cycle? Click Undo changes under the prompt to revert back to the previous state.
Manual edits
To make manual edits to any part of your review cycle, select the Cycle navigation tab and update the desired section as needed.
Tip: There's no need to choose between AI-assisted and manual edits. You can switch between the two as you like.
Note: You must set up steps 4 through 8 manually.
Step 4: Evaluation period and deadlines
Set a timeframe employees should reflect on during the review cycle.
Note: Late submissions are allowed as long as the cycle is not locked.
Step 5: Peer reviews (if applicable)
Set a recommended number of peer reviewers for each participant and select a level of peer review visibility.
Note: Lacking the recommended number of peer reviewers never stops review cycle progression. It is just a recommendation.
Step 6: Participants
Select which users to include in the review cycle.
You can add participants by:
Team.
Segment.
Individual user.
Entire organization.
You can also exclude specific teams, segments, or users from a review cycle.
Note: To add a user to a review cycle, they must first be invited to Workleap. You can invite users to Workleap from Settings.
Step 7: Notifications summary
See a description of all automated notifications that will be sent during the performance review cycle. You can see what triggers each notification and which roles it is sent to.
Step 8: Launch review cycle
When ready to launch your review cycle, select Launch cycle. You can edit launched review cycles so long as they aren't locked.
