Who can see a goal in Workleap depends on its type, its visibility setting, and your role; who can change it depends on whether you created it, own it, or contribute to it. This article lists both, so you know what a team member, a manager, or an Executive sees and can do on any goal.
Who this is for: everyone. The roles below are the platform roles: Employees (everyone), Direct Managers (anyone with direct reports), Executives and Collaborators (full Performance access). Administrators manage platform settings and have no extra rights on goals.
The three roles on a goal
Every goal carries three roles of its own, on top of platform roles. One person can hold several of them on the same goal, and holding one on a goal gives nothing on another.
Creator: the person who created the goal. Set once, never changes.
Owner: the person accountable for the goal. One per goal, the creator by default, can be reassigned.
Contributors: the people who contribute. For a personal goal, the owner only; for a team goal, each person listed plus every member of each team listed; for an organization goal, everyone in the organization.
Who can read a goal
A published goal can be read by the people below. A draft is visible to its creator only.
Executives and Collaborators read every goal in the organization.
Direct Managers read a goal when they created, own, or contribute to it; when it is set to Entire organization; when its owner is in their reporting line; when a contributor is in their reporting line; or when a contributing team includes one of their reports. The reporting line is everyone below them, at any level.
Employees read a goal when they created, own, or contribute to it (directly, through a team, or because it is an organization goal), or when it is set to Entire organization.
Two settings decide the rest. Entire organization lets anyone find and read the goal. Owner and contributors only keeps it to the rules above: the people involved, Executives and Collaborators, and every manager above the owner and contributors. An organization goal is always readable by everyone, since everyone contributes to it.
One exception: the owner of a goal can read its direct sub-goals even when they are set to Owner and contributors only, one level down only. A related goal you can't read appears as restricted, with its weight but no name or owner.
Who can change a goal
Changing a goal is decided by the role you hold on it. Direct Managers and Employees have no rights on a goal unless they hold one of these roles.
Edit the goal (name, description, owner, contributors, type, visibility, dates, progress method, measurements, parent): creator, owner, Executives, Collaborators.
Duplicate, archive, unarchive, delete: creator, owner, Executives, Collaborators.
Post a progress update: creator, owner, contributors, Executives, Collaborators.
Edit or delete a progress update: its author only; Executives and Collaborators for any manual update. Automatic updates can't be changed by anyone.
Publish a draft: the creator only. Not the owner, not an Executive, not a Collaborator.
Important: Contributors can read a goal and post progress on it, but they can't edit it. To let someone change a goal, make them its owner.
Who can be set as owner or contributor
When you can edit a goal's owner or contributors, who you can pick depends on your platform role. The pickers only offer the people and teams you are allowed to assign.
Executives, Collaborators, and Direct Managers: any person as owner or contributor, any team as contributor.
Employees: yourself, your Direct Manager, or your peers (the other people who report to your Direct Manager) as owner or contributor; any team you belong to as contributor.
These rules apply at creation and every time the owner or contributors change; people already on the goal aren't re-checked. Only Executives, Collaborators, and Direct Managers can make a goal an organization goal.
Who can read a goal's activity
The Activity of a goal, with every change and progress update, who made it, and when, is readable by anyone who can read the goal. There is no separate permission for it.
