How do I sync people from Slack?

Connect Slack so Workleap adds, removes, and updates the members of your Slack workspace every day. For Administrators.

Use this article to connect Slack so Workleap adds, removes, and updates people every day from the members of your Slack workspace. Slack doesn't have manager information, so you need to set managers in Workleap another way.

Note: You need to be an Administrator in Workleap and an administrator in Slack. Connecting and configuring Slack happens in Workleap Classic for now. Syncing people from Slack is separate from sending Workleap notifications to Slack.

Important: The first sync matches people by email. Before you connect Slack, make sure everyone you added by hand uses the same email in Workleap and in Slack. Otherwise, they get a second profile, and people who aren't in Slack are deactivated. See How does people sync work in Workleap?

What syncs from Slack

A Slack sync runs once a day and updates Workleap with the members of your Slack workspace.

  • People: adds people who are new in Slack, including contractors and temporary employees, and removes people who are no longer in it.

  • Information: names, emails, job titles, and profile pictures.

Slack doesn't sync managers or other fields. Workleap uses managers to build reporting lines, so set them another way after the first sync. See How do I add people to Workleap?

Connect Slack

Connecting Slack links your Slack workspace to Workleap so the sync can start.

  1. Log in to Workleap and go to Org settings > Integrations > People sync.

  2. Select Connect next to Slack.

  3. In the One quick detour message, select Continue in Workleap Classic. The Slack page opens in Workleap Classic in a new tab.

  4. Select Connect to your Slack workspace.

  5. Sign in with a Slack administrator account and allow Workleap to connect.

Connecting can take a few minutes, depending on the size of your workspace. Once Slack is connected, its configuration page opens.

Choose who gets imported from Slack

Choosing who gets imported decides which Slack members are added to Workleap.

  1. On the Slack configuration page in Workleap Classic, choose one of these options:

    • Everyone in my Slack workspaces: imports every member of your connected Slack workspaces.

    • Everyone in the following Slack channels: imports only members of the channels you choose.

  2. Select Save, then Apply changes in the confirmation message. The first time you save, the button is Activate Integration.

Choose sync options for Slack

Sync options decide how the Slack sync handles invites and people you added by hand.

  • Once users are created, automatically invite them to join Workleap: sends an invite to each new person the sync adds. We recommend turning this on, so new people can sign in without you doing anything.

  • Clean up manually-added members: removes people you added by hand who aren't in Slack. Leave this off to keep them.

After you change an option, select Save, then Apply changes.

Turn on the daily sync for Slack

Turning on the daily sync starts syncing people from Slack every day.

  1. Save your configuration on the Slack configuration page in Workleap Classic.

  2. Select Turn on daily sync.

  3. Optional: to sync right away instead of waiting for the next daily sync, select Start the sync now in the Your next sync is scheduled message.

Add a workspace or disconnect Slack

You can sync people from more than one Slack workspace, or disconnect Slack to stop the sync. People and their information stay in Workleap.

  1. Log in to Workleap and go to Org settings > Integrations > People sync.

  2. Select Manage next to Slack, then Continue in Workleap Classic.

  3. In the connection section at the top of the page:

    • To sync another Slack workspace, select Add another workspace.

    • To stop syncing one workspace, select the trash can icon next to it (Disconnect workspace).

    • To stop syncing from Slack completely, select the trash can icon at the top of the page (Disconnect all workspaces), then Disconnect in the confirmation message.

Limitations

  • Slack doesn't sync managers. Set managers in Workleap after the sync, or choose a source that has them, such as your HRIS or Microsoft 365.

  • Slack doesn't sync other fields, such as department or hire date.

  • Only one integration can sync at a time. To switch to Slack from another integration, turn off the other integration first.

  • The sync runs once a day. Changes in Slack show in Workleap after the next sync.
