How do I sync people from Microsoft 365?

Connect Microsoft 365 so Workleap adds, removes, and updates people every day, including their managers. For Administrators.

Use this article to connect Microsoft 365 so Workleap adds, removes, and updates people every day from your Microsoft 365 organization. You choose who gets imported, and managers and hire dates sync automatically.

Note: You need to be an Administrator in Workleap and an administrator in Microsoft 365. Connecting and configuring Microsoft 365 happens in Workleap Classic for now.

Important: The first sync matches people by email. Before you connect Microsoft 365, make sure everyone you added by hand uses the same email in Workleap and in Microsoft 365. Otherwise, they get a second profile, and people who aren't in Microsoft 365 are deactivated. See How does people sync work in Workleap?

What syncs from Microsoft 365

A Microsoft 365 sync runs once a day and updates Workleap with the people in your Microsoft 365 organization.

  • People: adds people who are new in Microsoft 365, including contractors and temporary employees, and removes people who are no longer in it.

  • Default fields: names, emails, profile pictures, hire dates, and managers. The manager comes from each person's manager in Microsoft 365. These fields are mapped automatically and can't be changed.

  • Other fields: any Microsoft 365 fields you map, such as department or office.

Fields that sync from Microsoft 365 can't be edited in Workleap. A lock icon shows next to them. Change them in Microsoft 365 instead.

Connect Microsoft 365

Connecting Microsoft 365 links your Microsoft 365 organization to Workleap so the sync can start.

  1. Log in to Workleap and go to Org settings > Integrations > People sync.

  2. Select Connect next to Microsoft 365.

  3. In the One quick detour message, select Continue in Workleap Classic. The Microsoft 365 page opens in Workleap Classic in a new tab.

  4. Select Connect to your Microsoft 365 organization.

  5. Sign in with a Microsoft 365 administrator account and accept the permissions Workleap asks for.

Workleap asks for these permissions: maintain access to data you have given access to, read custom security attribute assignments, read custom security attribute definitions, read all groups, and read users' full profiles. Once Microsoft 365 is connected, its configuration page opens.

Choose who gets imported from Microsoft 365

Choosing who gets imported decides which people from Microsoft 365 are added to Workleap.

  1. On the Microsoft 365 configuration page in Workleap Classic, choose one of these options:

    • Everyone in my Microsoft 365 account: imports everyone in your Microsoft 365 organization.

    • Everyone in the following Microsoft 365 groups: imports only people in the groups you choose.

  2. Optional: turn on Include guest users in provisioning to also import guest users.

  3. Select Save, then Apply changes in the confirmation message. The first time you save, the button is Activate Integration.

Choose sync options for Microsoft 365

Sync options decide how the Microsoft 365 sync handles invites and people you added by hand.

  • Once users are created, automatically invite them to join Workleap: sends an invite to each new person the sync adds. We recommend turning this on, so new people can sign in without you doing anything.

  • Clean up manually-added members: removes people you added by hand who aren't in Microsoft 365. Leave this off to keep them.

After you change an option, select Save, then Apply changes.

Map more Microsoft 365 fields

Mapping more fields copies other information from Microsoft 365, such as department or office, to each person's profile in Workleap.

  1. In Workleap, create the field first if it doesn't exist yet. Go to Org settings > People > People fields.

  2. On the Microsoft 365 configuration page in Workleap Classic, find the Workleap field and select the Microsoft 365 field to copy into it.

  3. Turn on its Sync switch.

  4. Select Save, then Apply changes.

If a field is deleted in Microsoft 365, it stays in Workleap but stops updating.

Turn on the daily sync for Microsoft 365

Turning on the daily sync starts syncing people from Microsoft 365 every day.

  1. Save your configuration on the Microsoft 365 configuration page in Workleap Classic.

  2. Select Turn on daily sync.

  3. Optional: to sync right away instead of waiting for the next daily sync, select Start the sync now in the Your next sync is scheduled message.

Replace or disconnect Microsoft 365

Replacing or disconnecting Microsoft 365 changes which Microsoft 365 organization syncs, or stops the sync. People and their information stay in Workleap.

  1. Log in to Workleap and go to Org settings > Integrations > People sync.

  2. Select Manage next to Microsoft 365, then Continue in Workleap Classic.

  3. In the connection section at the top of the page:

    • To connect a different organization or reconnect the current one, select Reconnect or replace Microsoft 365 organization.

    • To stop syncing, select the trash can icon (Disconnect account), then Disconnect in the confirmation message.

Limitations

  • Only one integration can sync at a time. To switch to Microsoft 365 from another integration, turn off the other integration first.

  • The sync runs once a day. Changes in Microsoft 365 show in Workleap after the next sync.

  • Workleap uses each person's email (Mail) in Microsoft 365. People without an email in Microsoft 365 aren't imported.
