This article answers common questions Team Managers and Direct Managers may have when using Workleap Officevibe.
What can I do as a Manager in Workleap Officevibe?
As a Team Manager or Direct Manager, you can:
View survey results and team metrics.
Respond to feedback.
Set goals and track OKRs.
Plan and conduct 1-on-1s.
Recognize team members with Good Vibes.
Access reporting for your team(s).
Can I see individual survey responses?
No. By default, all Pulse Survey responses are anonymous. However, written feedback is visible if at least five team members responded during the survey cycle.
As a Manager, you can reply to anonymous feedback using the feedback conversion feature, but your reply will not be anonymous to encourage trust and conversation with your team member(s).
Can I send reminders to my team to answer surveys?
Yes. You can encourage participation by reminding your team verbally or via a messaging platform. However, Workleap Officevibe does not send manual reminders from Managers.
The platform automatically sends Pulse Survey reminders during the survey cycle based on your organization's settings.
How often are Pulse Surveys sent?
Pulse Surveys are sent weekly by default. Administrators can change the survey frequency for your organization.
How are survey notifications scheduled?
Survey notifications in Workleap are randomized within the survey period. This means employees might receive surveys at different times within the established cycle, ensuring flexibility while maintaining consistent feedback collection.
Can survey notification schedules be customized?
Yes. Administrators can adjust survey notification settings if the default randomization doesn't meet your organization's needs. Specific days can be selected for reminders instead of the randomized timeframe.
Can I customize survey questions?
No. Core Pulse Survey questions are standardized to ensure consistent and reliable data. However, you can create and send a Custom Survey for specific topics.
Can I see which team members are not responding to surveys?
No. To protect employee anonymity, Workleap Officevibe does not provide information about who has or hasn’t answered a survey.
This anonymity policy extends to notification reporting as well. Workleap prioritizes employee confidentiality by not providing reports on when individual team members received or completed surveys.
Can I export results and feedback?
Yes. You can export survey results and feedback from your Reports tab. Data is available in CSV format. To share a custom survey report with a manager or a specific individual:
Access the Report: Navigate to the survey report you wish to share.
Locate the Share Option: Click 'Sharing,' located at the top-right of the report page.
Generate a Share Link: Use the tool to generate a unique share link for the respective survey.
The recipient will be granted access to a simplified version of the report that excludes sensitive feedback content. This feature allows for controlled distribution of survey data, ensuring that only the needed details are shared.
Can I respond to feedback?
Yes. You can respond to any written feedback submitted with at least 5 responses per survey cycle. Your reply is sent anonymously to the Employee.
What should I do if I see concerning feedback?
If you receive feedback that suggests harm or urgent issues:
Take it seriously and report it to your HR or Executive team.
Use your organization's internal policies to address the concern.
Follow up with HR if the situation requires escalation.
Can I delete feedback?
No. Feedback submitted through surveys cannot be deleted to preserve data integrity and anonymity.
