Teams and segments are used with a variety of Workleap features, such as Pulse Surveys and Pulse Survey Reports. Check out the sections below to learn how to effectively group your organization's users into Teams and segments.

You can add users to Teams manually or automatically via a rule set. Users can only be added to segments automatically by meeting the segment's rules.

Teams and segments are premium paid features.

Teams

Teams group users who work together under the same Team Manager(s). You can view and manage all aspects of your organization's Teams from the Teams list.

Teams list

The Teams list is your entry point to manage your Teams. You can create new Teams, edit existing Teams, and delete Teams. To access the Teams list, select Teams from the Workleap side menu.

Filter the Teams list

Select

to open the filters drawer. Filter Teams by Team type or manager status. You can also use the search bar to find Teams by name.

You can see the applied filters at the top of the Teams list. To remove a filter, select the X next to it.

Create a Team

To create a new Team:

  1. Select Teams from the side menu to open the Teams list.

  2. Select

  3. Enter a Team name.

  4. Select a Team color (Team colors show in the Teams list).

  5. Assign one or more Team managers from the Team's members.

  6. Select a Team type (see Team types for more info).

  7. Review the Team's members and sub-teams.

    • If desired, select Add member to add a Team member.

  8. Select

    to create the Team.

Edit a Team

To edit Teams:

  1. Select Teams from the side menu to open the Teams list.

  2. Locate and select the Team you wish to edit.

    • If necessary, filter the Teams list to find the Team you're looking for.

  3. Edit the Team as desired.

    • You can edit a Team's name, color, managers, Team type, members, or sub-teams.

  4. Select Save to save your edits.

All changes made to the Team's members appear in the pending changes section.

Delete a Team

To delete a Team:

  1. Select Teams from the side menu to open the Teams list.

  2. Locate and select the Team you wish to delete.

    • If necessary, filter the Teams list to find the Team you're looking for.

  3. Select Delete team to delete the Team.

Team types

Manual

For manual Teams, an admin must manually add or remove Team members during Team creation or by editing a Team.

Rule-based

In rule-based Teams, Team members are added to the Team automatically based on a defined set of rules. When you select the rule-based Team type, you are prompted to set up the Team's rules.

Rule-based Teams cannot have sub-teams.

Set up rules

First, choose a Team member match criteria:

  • All of the following rules - Team members are added to the Team if they meet all of the set rules.

  • Any of the following rules - Team members are added to the Team if they meet at least one of the set rules.

Now, select Add rule to create a new rule. Each rule is made up of a property, condition, and value.

Each row makes up a rule. Add as many Team rules as you like. If you wish to remove a rule, select the X next to the rule you want to remove.
You can update the Team's rules at any time by editing the Team.

Rule-based Teams must have at least one rule.

Segments

Segments let you group users by properties. Segments have no Manager, and segment users aren't necessarily on the same Team. For example, you could create a segment for female users who've joined your organization in the last six months.

Segments list

The Segments list allows you to view, create, edit, or delete your organization's segments. To access the Segments list, select Segments from the Workleap side menu.

Create a segment

To create a new segment:

  1. Select Segments from the side menu to open the Segments list.

  2. Select New segment.

  3. Enter a segment name.

  4. Define the segment's rules and properties.

    1. Select a user match criteria.

    2. Select Add rule to add a rule.

      • Each rule is made up of a property, condition, and value.

      • Add as many rules as you like to the segment.

      • A segment must have at least one rule.

      • To delete a rule, select the X next to the rule you want to delete.

  5. Select Save to save the segment. It will now show in the Segments list.

Select Discard at any time to discard any choices and return to the Segments list.

Edit a segment

To edit an existing segment:

  1. Select Segments from the side menu to open the Segments list.

  2. Select the segment you wish to edit.

    • If needed, use the search bar to find the desired segment.

  3. Edit the segment as desired.

    • You can edit a segment's name, rules, or properties.

  4. Select Save to save your edits.

Delete a segment

To delete a segment:

  1. Select Segments from the side menu to open the Segments list.

  2. Select the segment you wish to delete.

    • If needed, use the search bar to find the desired segment.

  3. Select Delete segment to delete the segment.
