Assign a temporary Direct Manager in Workleap Performance to support seamless collaboration between an Employee's official and temporary Direct Managers and avoid disruptions during manager transitions, leaves, or temporary reassignments.
Temporary Direct Managers can complete reviews, share reviews, and assign peer reviewers during the review cycle. When the cycle is locked, they lose Direct Manager access, and your org structure remains unchanged.
Why assign a temporary Direct Manager?
You may assign a temporary Direct Manager if:
A new manager hasn’t been onboarded yet.
An official manager is on leave.
A project lead or non-manager needs to collaborate on the review.
An Employee is in transition during a reorg or reassignment.
Who can assign a temporary Direct Manager?
The following roles can assign a temporary manager:
Executive.
Collaborator.
Direct Manager (if they oversee the reporting line).
These users can assign any active Employee with product access as a temporary manager—except the current Direct Manager or the reviewee.
How to assign a temporary Direct Manager
Open Workleap Performance and select a review cycle from the Home or Review cycles page.
Find the desired Employee in the Reviewee column and select the three dots button next to their name.
Filter the list or search for an Employee by name, if needed.
Select Assign a temporary Direct Manager.
Start typing the name of the user you want to assign as a temporary manager in the text box and select them from the list that appears.
Select Assign.
Note: Only one temporary manager can be assigned at a time. This assignment applies only to the selected Employee and does not carry over if the cycle is duplicated.
How to update or remove a temporary Direct Manager
At any point after assigning a temporary Direct Manager:
Open Workleap Performance and select a review cycle from the Home or Review cycles page.
Find the desired Employee in the Reviewee column and select the three dots button next to their name.
Filter the list or search for an Employee by name, if needed.
Select Update temporary Direct Manager.
Start typing the name of the user you want to assign as a temporary manager in the text box and select them from the list that appears.
To remove a temporary Direct Manager, select the X next their name.
Select Update.
The new temporary manager will receive a notification about their new access and responsibilities. If a temporary Direct Manager is removed, the reviewee's Direct Manager reverts to their official Direct Manager only.
What access does the temporary Direct Manager have?
Temporary managers can only access data for the review cycle they've been assigned to:
Temporary Manager (As a Direct Manager of other Employees):
Full access to review tasks and Employee details.
Can edit, submit, and share their manager review.
Can assign peers and see timelines and cycle progress.
Temporary Manager (As an Employee with no direct reports):
Can complete core tasks (edit, submit, assign peers, share reviews).
Cannot view performance analytics or cycle progress.
How manager collaboration works
Only one review is submitted per Employee.
Both the temporary and official Direct Managers can edit, but only the most recent edit is saved.
Both managers can see who made the last edit.
The Employee sees both managers listed in the review summary header and which manager submitted the review.
Notifications
Notifications are sent via email and your integrated communications application (if applicable):
When assigned or removed: Both the temporary and official Direct Manager are notified.
Daily digests: Sent at 9 AM to both managers each morning during the review cycle, listing remaining review tasks.
Update notifications are triggered when the reviewee completes or misses a key review step.
Considerations
Assignments are temporary and only apply during the selected review cycle.
Only one temporary manager can be assigned at a time.
Assigned temporary managers do not carry over after the cycle ends or is duplicated.
Temporary managers lose access once the cycle is locked.
You cannot submit multiple manager reviews for an Employee in a single review cycle.
