Administrators can set permissions for each user property in their Workleap account. This allows for a great deal of control over visibility, editing rights, and whether the property is required for each user.
Note: As always, if a property is synced with an HRIS integration, you cannot edit it.
Property permissions setup
When creating or editing a property, Admins can choose a:
Visibility rule: who can see the property and value.
Editing rule: who can modify the property value.
Required rule: whether the property is mandatory.
Visibility rules
Property visibility rules are:
Public: Visible to all user roles in Workleap Pingboard.
Private: Visible only to the employee, Executives, and Administrators.
Limited: Visible only to Executives and Administrators (the employee cannot see the property or its value).
Hidden: Not shown on any profile. Only appears in the Properties list.
Synced properties cannot be hidden.
Editing rules
Editing rules determine who can change a property:
You can allow employees to edit their own values for the property.
Examples of properties you may want to let employees edit themselves include Skills, Shirt size, etc.
Note: Admins always have property editing rights except for hidden properties.
Required property rules
Employees must write a value for required properties during onboarding.
If an Admin makes a property required after an employee has already onboarded, Workleap prompts the employee to fill out the required properties the next time they edit their profile.
Tip: Requiring properties ensures that data is collected for key workflows.
