Notifications in Workleap Performance

This article is for anyone using Workleap Performance. It covers the types of notifications the system sends, when they're triggered, who receives them, and how they're delivered.

How notifications work

Workleap Performance sends notifications to keep everyone informed throughout the review cycle. Notifications are triggered automatically based on key events — like a cycle launching, a review being submitted, or a deadline approaching — so you don't have to manually follow up on every step.

Notifications are adjusted to the recipient's timezone.

Note

Notifications respect each member's communication preferences. Members must have a confirmed email address to receive notifications.


Communication methods

Notifications can be delivered through different channels depending on your organization's settings and your personal preferences.

The available communication methods are:

  • Email

  • Slack

  • Microsoft Teams

Your organization's admin selects the default communication method for the company. You can override this default in your personal preferences under Preferences > Workleap > Communication method.

Note

If your organization uses Slack or Microsoft Teams as the default, you can still choose to receive notifications by email instead (and vice versa) from your personal preferences.


Review cycle launch

When an HR Admin (Executive or Collaborator role) launches a review cycle, the system sends notifications to let participants know the cycle is active and what's expected of them.

  • Employees receive a notification that their self-review is available (if the cycle includes self-reviews).

  • Managers receive a notification that the cycle has launched and they have reviews to complete (if the cycle includes manager reviews or peer reviews).


Review reminders

Workleap Performance sends automatic reminders to help participants complete their reviews on time. Reminders are sent based on due dates configured in the review cycle.

There are three types of reminders:

  • Before the deadline — Sent 3 business days before the due date

  • On the deadline — Sent on the due date itself

  • After the deadline — Sent 1 business day after the due date

Each review type has its own reminder schedule:

Note

Reminders are only sent for reviews that haven't been submitted yet. They are not sent for locked review cycles. Business days exclude weekends.

When a review is overdue, the employee's manager also receives a summary as part of their Manager Daily Digest (see below).


Submission confirmations

When a review is submitted, the person who submitted it receives a confirmation.

  • Self-review submitted — Confirmation sent to the employee

  • Manager review submitted — Confirmation sent to the manager

  • Peer review submitted — Confirmation sent to the peer reviewer

These are simple confirmations that the review was successfully recorded.


Review sharing

When a manager shares review results with an employee:

  • The employee receives a notification that a performance review has been shared with them.

  • The manager receives a confirmation that the review has been shared.


Peer review notifications

Peer reviewers receive notifications at key moments in the peer review process:

  • Peer review request — Sent when a peer reviewer is assigned to review someone. The notification tells them who they've been asked to review.

  • Peer review canceled — Sent when a peer review assignment is removed. If multiple assignments are canceled at once, they're grouped into a single notification.


Manager Daily Digest

Managers receive a daily summary of review activity for their team. The digest is delivered at 9 AM in the manager's timezone and includes:

  • Recently submitted reviews (self-reviews and peer reviews) from their direct reports

  • Overdue review reminders for their team

  • Employees who were removed from the review cycle

Note

If 9 AM has already passed or it falls on a weekend, the digest is deferred to the next business day. Multiple events for the same manager are grouped into a single digest.

The daily digest keeps managers informed without flooding them with individual notifications for every event.


Nudge (manual reminders)

HR Admins, Executives, and Managers can manually send reminders — called "nudges" — to prompt team members to take action. Nudges are available from the Performance Overview and review management screens.

A nudge can prompt someone to:

  • Complete their self-review

  • Complete their manager reviews

  • Complete their peer reviews

  • Share review results with the employee

The sender can add a custom message to the nudge. The system tracks whether a review was submitted after a nudge was sent, helping measure the effectiveness of reminders.


Participant lifecycle

When participants are added or removed from a review cycle after it has launched, the system notifies them:

  • Added to a cycle — The employee receives a notification that they've been added to an ongoing review cycle (only if the cycle includes self-reviews).

  • Removed from a cycle — The employee receives a notification that they've been removed from the review cycle.


Temporary manager notifications

When temporary managers are assigned during a review cycle, the system sends notifications to keep everyone aligned:

Note

If multiple employees are assigned to the same temporary manager within a short window, notifications are grouped into a single message.


Lock review cycle reminder

After a review cycle's overall due date has passed (approximately one week after), Executives and Collaborators who have permission to lock the cycle receive a reminder to lock it. This helps ensure cycles are closed in a timely manner once all reviews are expected to be in.

This reminder is only sent if the cycle hasn't been locked yet.


Goal reminders

Goal owners receive a weekly reminder (sent on Fridays) to update progress on their published goals when the system detects that an update is needed.

Note

Goal reminders are only sent for published goals — not for goals in draft or archived state.
