What are Workleap Agent skills, templates and guidance?

Skills are the jobs the Workleap Agent knows how to do. Administrators shape them with templates and guidance. You can add your own.

A skill is a job the Workleap Agent knows how to do, such as writing goals or replying to feedback. A template is how the agent does that job. Organization guidance is the set of rules the agent adds to whichever template runs.

How it works

  1. Workleap provides templates, marked View only.

  2. Administrators add organization templates, pick the Default, and write organization guidance.

  3. Everyone can add personal templates for their own use, unless an Administrator turns this off.

  4. When a skill runs, the agent follows one template: the one you name, or else the Default. It adds organization guidance. Templates never combine.

Setup

Administrators: set a skill for your organization

Only Administrators can open Organization settings > Agent.

  1. Go to Organization settings > Agent > Skills (your avatar, top right), then click the skill.

  2. To add a template, click New template, or Edit a copy on a Workleap template. Enter a Name and the Agent instructions, then click Create template.

  3. To change the default, expand a template and click Make default.

  4. To add rules for every template, write them in Organization guidance and click Save changes.

  5. Under Member access, turn Allow people to create their own templates for this skill on or off. It is on by default.

Everyone: add a personal template

  1. Go to Personal settings > Agent > Skills, then click the skill.

  2. Click New template, or Edit a copy on a Workleap template.

  3. Enter a Name and the Agent instructions, then click Create template.

To use it, name it in your request: “Use my Quick check-in template.” You can also ask the agent to save a template from a conversation. It shows a card before it saves.

Write guidance that works

  • Guidance holds the rules. A template holds how the job is done. Keep them apart, so a change happens in one place.

  • Be specific and rule something out. “Anchor every feedback reply in the point the person raised” changes the result. “Replies should be thoughtful” does not.

  • Give the reason with the rule, and put a number on it: “Two to three sentences, because managers skim.”

  • Start with the one or two skills your managers use most. Add a rule when you see a result you don't like.

Templates by feature

Good to know

  • Workleap templates can't be edited. Click Edit a copy instead.

  • You can't set your own default. Name your template in your request.

  • There is no personal guidance. Use a personal template, or your agent preferences, which apply to every skill.

  • When member access is off, the agent stops using personal templates for that skill. It does not delete them.

  • The skills that create PDF, PowerPoint and Excel files are not on the Skills pages. Put format instructions in your request.

  • “Skills” here means the Workleap Agent's skills, not the Workleap Skills product.
