Use this article to read your organization’s engagement results in the Engagement report in Workleap Analytics. You’ll learn how to filter the report, read each tab, compare teams in the heatmap, send a survey reminder, and export the data.
Note: Only Executives can open the engagement report. Team Managers see their own team’s engagement on the Team page.
Before you start
The Pulse Survey is active in your organization.
People answered the Pulse Survey during the period you want to look at.
Open the engagement report
The engagement report is in Analytics and has four tabs: Overview, Metrics, Question results, and Heatmap.
Log in to Workleap and select Analytics in the top navigation.
In the left sidebar, under Engagement, select Engagement.
The engagement report opens on the Overview tab.
Filter the engagement report by scope and period
Two filters above the tabs set what the engagement report shows. They apply to every tab, so you only set them once.
Select the scope menu, which shows your organization’s name by default, and choose your whole organization or your team.
Select the period, which is Last 30 days by default, and choose another time frame or a custom date range.
The report updates right away. When you pick your team instead of the whole organization, trend charts add a second line for the organization so you can compare.
Read the Overview tab
The Overview tab of the engagement report gives you a snapshot of engagement for the selected scope and period.
Overall engagement score: a score out of 10 with a rating, such as Very good. It shows the change since the previous period and a trend chart.
Employee Net Promoter Score (eNPS): how likely people are to recommend your organization as a place to work, on a scale from -100 to +100. Select Show distribution to see the breakdown. eNPS always uses the last 90 days of responses, whatever period you select.
Participation rate: the percentage of people who answered, the number of people who answered out of everyone surveyed (for example, 153 / 155), a rating, and the change since the previous period.
If eNPS is turned off for your organization, the eNPS section shows Off since with the date it was turned off.
If some standard questions are paused, a banner at the top of the Overview tab shows how many. Paused questions can affect scores and participation. Select Manage questions in the banner to review them in Workleap Classic. The banner covers the whole organization, whatever scope you select.
Get an AI summary of your engagement
The engagement report gives you an AI insight at the top of the Overview tab and an Analyze Engagement button for deeper questions.
AI insight: a headline that sums up engagement for the selected scope and period. Select See more to read up to 3 supporting points.
Analyze Engagement: select it at the top right of the report to open the agent with a detailed analysis. Ask follow-up questions in the same chat.
Workleap agent insight: The AI insight and Analyze Engagement use your Pulse Survey results and the feedback people sent for the selected scope. Check the scores on each tab before you act on a summary.
Explore engagement metrics
The Metrics tab of the engagement report lists the 10 metrics behind the overall engagement score: Alignment, Ambassadorship, Feedback, Happiness, Personal Growth, Recognition, Relationship with Manager, Relationship with Peers, Satisfaction, and Wellness.
Each metric shows its score and its change over the selected period. Metrics that dropped the most appear first. Hover over the info icon next to a metric to see what it measures.
To see the details of one metric:
Select the Metrics tab.
Select a metric.
A page opens with the metric’s sub-metric scores, a trend chart compared with the organization, and the metric’s questions with how people answered them. Use the filters at the top of this page to change the scope, period, or metric. Select Back to Engagement to return to the report.
Review question results
The Question results tab of the engagement report shows how people answered each Pulse Survey question, in two tables.
Standard questions results: the science-backed questions in your Pulse Survey, with the sub-metric each question belongs to.
Custom question results: the questions your organization added to the Pulse Survey.
Each result bar shows the share of answers, from most positive on the left to most negative on the right, with the percentage written on each part. Each table shows 5 questions per page. Use the arrows below a table to see more.
You can open more details for custom questions:
Rating questions: select the question to open its own report, with its score, trend, participation rate, and how answers are distributed.
Open-ended questions: select N written responses to open Feedback, already filtered to that question.
Compare teams in the heatmap
The Heatmap tab of the engagement report shows participation, eNPS, overall engagement, and each metric for every manager’s team, side by side.
Select the Heatmap tab.
Choose a view next to the period filter:
Variation (default): the change for each team over the selected period. Hover over a cell to see the current score.
Score: the current score for each team. In this view, the period filter turns off and a date picker lets you choose a single date.
Select a column header to sort by that column. Select it again to reverse the order.
Select the arrow next to a metric name to expand it into its sub-metrics.
The Organization row stays at the top so you can compare each team to the whole organization. Each manager’s row counts their direct reports only, not people further down their reporting line.
Note: To protect anonymity, the heatmap doesn’t show scores for teams with fewer than 3 respondents, and hides these teams by default. Select Show all rows (N) to list their names. Their scores stay hidden. Select Hide low-response teams to hide them again.
Compare the heatmap to an industry benchmark
The Benchmark row in the heatmap compares your organization’s results with organizations in the same industry, location, and size. Benchmark scores show in the Score view only.
On the Heatmap tab, select Score.
Select the gear icon in the Benchmark row.
Choose an Industry, a Location, and a Number of employees.
Select Save.
The Benchmark row updates with the scores for that group. Your choice stays in place the next time you open the heatmap in the same browser.
When standard questions are paused, your metric scores rely on fewer questions, so the comparison with the benchmark is less accurate. The paused questions banner on the Overview tab shows how many are paused.
Send a survey reminder
You can send a Pulse Survey reminder from the engagement report to people in the selected scope who haven’t been answering. The reminder goes to these inactive people only.
Select the ⋮ menu at the top right of the report, then Send survey reminder.
Check how many people will get the reminder.
Optional: add a personal message.
Select Send.
A Survey reminder sent message confirms the reminder is on its way.
Export the engagement report
You can export engagement report data to share it outside Workleap. The export matches the tab you’re on.
Open the tab you want to export.
Select Export at the top right, then Export as CSV or Export as Excel.
The file downloads to your computer. Here’s what each export contains:
Overview or Metrics: one file with the overall engagement score, eNPS, participation, and all 10 metrics and sub-metrics.
Question results: one row per question for the selected period. Standard questions come first, then rating custom questions. In Excel, they’re on two separate sheets. Open-ended answers aren’t included; you’ll find them in Feedback.
Heatmap: the heatmap scores for each manager’s team.
Manage Pulse Survey settings and questions
You manage Pulse Survey settings and questions in Workleap Classic, not in the engagement report. When you select one of these options, a message tells you you’re leaving for Workleap Classic before it opens.
Manage survey settings: in the ⋮ menu at the top right of the report.
Manage questions: above each table on the Question results tab. The one above Custom question results opens your custom questions.
Add custom question: above the Custom question results table.
Limitations of the engagement report
Heatmap grouping: the heatmap groups teams by manager only. You can’t group by another attribute or pick specific managers. To focus on one part of the organization, change the scope filter.
Heatmap rows: each manager’s row counts direct reports only.
Benchmark: benchmark scores show in the Score view only. Your benchmark choice is saved in your browser, so you set it again on another browser or device.
eNPS period: eNPS always covers the last 90 days, even if you select another period.
Export formats: you can export CSV and Excel files only. There’s no PDF or slide export.
Reminder history: the reminder dialog doesn’t show when the last reminder was sent.
Survey settings: survey settings and questions open in Workleap Classic.
