Use this article to write the sections and questions of a review cycle in Workleap, and to decide who answers each question and what the reviewee sees once reviews are shared. Every question has a default wording, and each audience (reviewee, manager, peers, reports) can either read it as is or get its own rewording.
Who can use it: Executives and Collaborators, in the Review form step of the cycle settings. Questions stay editable after launch, but not once the cycle is locked.
Before you start
The review cycle exists, and its review types are set in the General step. The review types decide which audiences you can pick below.
Add sections and questions
A review form is a list of sections, each holding one or more questions.
Open the review cycle's settings and select the Review form step.
Select + Section. Give it a title in Add a section title and, optionally, a description. Use the icons at the top right of the section to duplicate or delete it.
Select + Add question in the section, or + Question in the toolbar. Write the question in What do you want to ask? (up to 1,000 characters) and, optionally, a Description.
In the right-hand panel, under ANSWER, pick Open text, Rating scale, or Multiple choice. Keep Required checked if every reviewer must answer it.
The left-hand outline lists your sections and questions as you add them. A review cycle needs at least one section with questions to launch, and each review type needs at least one required question.
Build a rating scale
A rating question in a review form has labelled points, and it is what the Review Score and the 9-box are computed from.
With Rating scale selected under ANSWER, fill in Label for point 1, Label for point 2, and Label for point 3 (up to 80 characters each), for example Below expectations, Meets expectations, Exceeds expectations.
Optionally, describe each point in What this point means, so reviewers rate the same way.
Select + Add point for a longer scale.
Scores are computed from rating answers only, so a cycle without a rating question has no Review Score. See How is the Review Score calculated, and how do I set its formula?
Choose who answers each question
Each question in a review form can be asked to some audiences and not others.
Select the question. In the right-hand panel, under WHO ANSWERS THIS, check or uncheck Reviewee, Manager, Peers, and Reports. Only the audiences matching the cycle's review types are offered.
Leave at least one audience checked; a question nobody answers blocks the launch.
Reword a question for one audience
Rewording lets each audience read a question in its own voice: the reviewee reads Rate your performance, the manager reads Rate their performance.
Under the question, in the Reword for row, select + Reviewee, + Manager, + Peers, or + Reports.
In the card that appears, tagged with the audience name, write that audience's wording and, optionally, its description.
Select × on the card to drop the rewording; that audience goes back to the default question.
Changing the default question updates every audience that still follows it; a reworded audience keeps its own text. Each reviewer sees their audience's wording in their form, and a shared review shows the manager's wording to the reviewee, marked as reworded when it differs.
Decide what the reviewee sees once reviews are shared
Each question in a review form decides, per audience, whether its answers are shown to the reviewee when their manager shares the reviews.
Select the question. Under SHARED WITH THE REVIEWEE, check Manager responses, Peer responses, or Responses from their reports for each answer the reviewee should see. All three are unchecked by default.
Repeat for every question. Use Preview form with View as reviewee, once shared to check the result.
Important: Sharing a review doesn't show everything. The reviewee sees only the questions checked here, even after their manager shares. A cycle that requires acknowledgment needs at least one question shared with the reviewee, or it can't launch.
Whether peer and upward reviewers' names are shown is a separate setting, Author names in the General step.
Write the questions in both languages
A review cycle that runs in English and French needs every question in both languages.
Use the language selector at the top right of the steps to switch between languages.
Give every section and question a title in each language. A description must exist in every language or in none.
Missing translations appear in the N issues pill until the form is complete.
Limitations and workarounds
Locked cycle, frozen form. You can edit wording on a launched cycle, not on a locked one. Unlock the cycle first.
Removing a review type drops its audience, its rewordings, and its sharing settings on every question.
Changing a rating question after reviews are in changes what the Review Score is computed from: answers to a question that is no longer enabled are ignored.
