Why set up your organizational structure?

Setting up your structure helps you:

  • Send relevant surveys to the right Employees.

  • Share reports with the appropriate Team Managers and Executives.

  • Reflect your org chart accurately inside Workleap Officevibe.

  • Improve targeting for onboarding flows and Feedback.

Key components of your structure

Your Officevibe structure includes:

  • Teams: A group of Employees who usually report to the same Direct Manager.

  • Groups: A higher-level grouping of teams (e.g., departments or regions).

  • Direct Managers: Assigned to individual team(s). They receive survey results and can run Feedback sessions or 1-on-1s.

  • Executives: Assigned to groups. They can view aggregate results and manage visibility at a higher level.

How to replicate your structure

  1. Create teams.

    • Go to Settings > Teams.

    • Click Add Team.

    • Give the team a clear name (e.g., “Sales – West”).

    • Assign the correct Employees and a Direct Manager.

  2. Create groups.

    • Go to Settings > Groups.

    • Click Add Group.

    • Name the group (e.g., “North America Sales”).

    • Add related teams to this group.

    • Assign an Executive if needed.

  3. Review and validate.

    • Make sure each Employee is in the right team.

    • Check that each team has a Direct Manager.

    • Confirm groups and Executives are properly set.

Tips for large organizations

  • Use CSV import to upload teams and users in bulk.

  • Keep team names consistent for easier navigation.
