Feedback Topics Report

Learn how to use the Feedback Topics report in Workleap Officevibe: dynamic filtering, sentiment analysis, topic signals, response rates, and more.

The Feedback Topics report in Workleap Officevibe gives executives, HRBPs, and managers a complete view of their team's feedback with dynamic filtering, LLM-powered sentiment analysis, topic signals, and manager response rate breakdowns.

Access the Feedback Topics report

  1. Log in to Workleap and open Officevibe.

  2. From the side menu, select Reports, then Feedback.

Use the tabs at the top to navigate between sections. The tabs available depend on your role.

Who can access the Feedback Topics report

  • Executives and HRBPs: Full report: Overview, Response Rates, Manager Response Rate, and Qualitative Trends tabs.

  • Team Managers: Manager Overview tab only, scoped to their direct reports.

Note: LLM-powered sentiment and topic analysis require Workleap AI. Accounts without Workleap AI can still access the previous report, without AI-backed sentiment or topic grouping.

Overview tab

The Overview tab is the report's home screen. It shows:

  • Workleap AI summary — an AI-generated narrative of feedback highlights for your selected audience and period.

  • Feedback received — total count compared to the previous period.

  • Response rate — the percentage of feedback that received a reply.

  • Unreplied messages — click this to go directly to the Feedback page filtered to messages that haven't been replied to yet.

  • Sentiment breakdown — positive vs. constructive, with a trend graph.

  • Topic Signals — the most notable themes in your feedback, each tagged as Risk (constructive feedback growing), Trending (spike in volume), or New (just appeared). Click any row to open the Feedback page filtered by that topic.

Filter the report

You can filter report data dynamically — no manually created segments needed.

  • Direct Manager: Select one or more managers. Toggle Include indirect reports to include their full reporting line.

  • User properties: Filter by tenure, location, department, gender, hiring date, or custom attributes set up in your account.

Applied filters carry across all report tabs. The report header always shows the active audience.

Tip: Save your filter configuration as a named view — apply your filters, then select Save view at the top of the report. Saved views are personal and not visible to others.

Response Rates tab

The Response Rates tab (available to users with executive role) shows overall response rates across your organization for the selected period and audience. It breaks down response rates and time-to-respond by individual manager. Select managers using the filter to compare them side by side.

The comparison table shows each manager's:

  • Response rate and change since the previous period

  • Feedback volume

  • Constructive rate

Click any manager row to open their feedback on the Feedback page.

Qualitative Trends tab

The Qualitative Trends tab (available to users with executive role) shows feedback volume and constructive rate by Officevibe metric, plus feedback from onboarding, smart questions, custom questions and suggestion box.

Click any metric row to see:

  • Message count and share of total feedback

  • Volume trend over time

  • Sentiment breakdown

  • Top topics linked to this metric

Click a topic row to open the Feedback page filtered by that metric and topic.

Manager Overview tab

Team Managers land on the Manager Overview tab, scoped to their direct reports. Managers do not have access to the Response Rates, Manager Response Rate, or Qualitative Trends tabs.

Manager Overview shows:

  • Feedback received and your personal response rate

  • Unreplied messages — click to open messages you haven't replied to yet

  • Your average time to respond

  • Topic Signals for your team's feedback

Click any Topic Signal row to read the messages and reply.

Tip: The 30-day data limit no longer applies. Use the date picker to select 3 months, 6 months, 1 year, or a custom range.

Export report data

  1. Apply the filters and date range you want to export.

  2. Select Export at the top right of the report.

The export downloads as an .xlsx file reflecting your current filters and date range.
