How do I use the Feedback report as an Executive?

Read feedback sentiment, topic signals, manager reply rates, and qualitative trends, get an AI summary, and export. For Executives.

Use this article to read your organization’s feedback in the Feedback report in Workleap Analytics. You’ll learn how to open and filter the report, read each tab, and export the data.

Who can use it: only Executives can open the Feedback report. Team Managers don’t have access to it.

Before you start

  • Feedback is active in your organization.

  • People sent feedback during the period you want to look at.

Open the Feedback report

The Feedback report is in Analytics and has three tabs: Overview, Manager reply rate, and Qualitative trends.

  1. Log in to Workleap and select Analytics in the top navigation.

  2. In the left sidebar, under Engagement, select Feedback.

The Feedback report opens on the Overview tab. Select a tab at the top to switch sections.

Filter the Feedback report

Filters set whose feedback the Feedback report shows, for which period, and narrow it to the feedback you want to look at.

  1. Select the scope menu, which shows My team by default, and choose My team, Everyone for your whole organization, or a segment.

  2. Choose All reports to include direct and indirect reports, or Direct reports to include direct reports only. The number next to each option shows how many people it includes.

  3. Select the period, which is Last 30 days by default, and choose Last 7 days, Last 3 months, Last 6 months, This quarter, This year, or Custom period to pick a start and end date.

  4. Select Add filters and filter by metric, sentiment, or type.

The Feedback report updates right away. Your scope, period, and filters carry across all tabs, and the report header always shows the active audience.

Read the Overview tab

The Overview tab is the Feedback report’s home screen. It sums up feedback for the selected audience and period:

  • Workleap agent summary: an AI-generated narrative of feedback highlights for your selected audience and period.

  • Feedback received: the total number of feedback messages, compared with the previous period.

  • Reply rate: the percentage of feedback that got a reply.

  • Unreplied messages: select it to open the Feedback page, filtered to messages that haven’t had a reply yet.

  • Sentiment breakdown: the share of positive and constructive feedback, with a trend graph. Constructive feedback points to something that could be better.

  • Topic signals: the most notable themes in your feedback, each tagged with one of three signals:

    • Worth a closer look: constructive feedback on the topic is growing.

    • Trending: the topic has a spike in volume.

    • New: the topic just appeared.

Select any row in Topic signals to open the Feedback page, filtered by that topic.

Compare manager reply rates

The Manager reply rate tab of the Feedback report shows how often managers reply to feedback across your organization, for the selected period and audience. The reply rate is the percentage of feedback that got a reply. The tab breaks down reply rates and time to respond by individual manager.

To compare managers side by side, select them using the filter. The comparison table shows each manager’s:

  • Reply rate and its change since the previous period

  • Feedback volume

  • Constructive rate: the share of their feedback that’s constructive

Select any manager row to open that manager’s feedback on the Feedback page.

Review qualitative trends

The Qualitative trends tab of the Feedback report shows feedback volume and constructive rate for each Officevibe metric. It also covers feedback from onboarding, smart questions, custom questions, and the suggestion box.

Select a metric row to see:

  • Message count and share of total feedback

  • Volume trend over time

  • Sentiment breakdown

  • Top topics linked to this metric

Select a topic row to open the Feedback page, filtered by that metric and topic.

Export Feedback report data

You can export Feedback report data as a file, or have the Workleap agent create a report or presentation from it. The export uses your current filters and date range.

  1. Apply the filters and date range you want to export.

  2. Select Export at the top right of the Feedback report.

  3. Choose an option:

    • Export as CSV: downloads a .zip file with your report data as CSV files.

    • Export as Excel: downloads an .xlsx file.

    • Create custom report: opens the Workleap agent, which creates a PDF report.

    • Create custom presentation: opens the Workleap agent, which creates a PowerPoint presentation.

CSV and Excel files download to your computer. Custom reports and presentations are created in your language and use aggregated numbers only. No feedback text is sent to the Workleap agent.

Limitations of the Feedback report

The Feedback report has a few limits to keep in mind:

  • Access: only Executives can open the Feedback report. Team Managers read and reply to their team’s feedback in Feedback.

  • Saved views: you can’t save a filter configuration as a named view.

  • Feedback labels: you can’t filter the Feedback report by feedback label.

  • Exports: CSV and Excel files contain report data, not feedback messages.
