Understanding inactive users in Officevibe

Pulse Survey participation plays a key role in team engagement. This article explains what it means for a user to be inactive in Officevibe, how it affects your team's participation rate, and what Admins and Executives can do to manage it.

What is an inactive user?

In Officevibe, an inactive user is someone who hasn’t answered a Pulse Survey in the past 30 days. Inactive Officevibe users still receive automatic Pulse Survey emails.

Caution: Officevibe inactivity does not impact whether users are active or inactive in the Workleap platform.

Participation rate

The participation rate is based on 30-day periods. If a team member becomes inactive (i.e., they don't respond to any Pulse Surveys in 30+ days), the team's overall participation rate goes down.

Automatic Pulse Survey emails

When you open a Pulse Survey, the following emails are automatically sent to participants until they respond:

  • Initial email: Sent when the Pulse Survey opens.

  • Reminder email: Sent 3 days later to users who haven’t responded.

  • Final reminder email: Sent 5 days after the survey opens if the user still hasn’t responded.

Send Pulse Survey reminders manually

Admins and Executives can send Pulse Survey reminders manually. Manual Pulse Survey reminders contain a new link

To do so:

  1. Log in to Workleap and open Settings.

  2. Select Officevibe in the sidebar.

  3. Select Surveys under Features.

  4. Locate Pulse Survey reminders and click Send.

  5. Enter a personalized message if desired, then click Send reminder.

Note: Inactive users can only receive 1 manual Pulse Survey reminder every 14 days.

Note: Manual Pulse Survey reminders are sent to your organization's entire inactive users list. Only Admins, however, can view which Officevibe users are inactive.

Export the inactive user list

Admins can export your organization's inactive Officevibe user list as a CSV file.

To do so:

  1. Log in to Workleap and open Settings.

  2. Select Officevibe in the sidebar.

  3. Select Surveys under Features.

  4. Locate Pulse Survey reminders and select inactive users to open the list.

  5. Select Export full list.

How do inactivity and participation rate affect Pulse Surveys and Custom Surveys?

Officevibe anonymity rules apply to all survey types, which could temporarily block you from viewing answers for a certain audience, survey, or question.

Pulse Surveys

  • Anonymous feedback is hidden unless a team has at least 5 users. The number of survey participants does not impact this rule. If the team size drops below 5 users, the anonymous feedback will no longer be visible.

  • Anonymous feedback for each Pulse Survey is hidden until at least 5 users have participated in the survey. Once this participant threshold is reached, anonymous feedback won't be blocked for this reason, even if participation changes later on.

Custom Surveys

  • Anonymous feedback is hidden for Custom Surveys unless the survey audience includes at least 5 separate users. Participation does not impact this rule.

  • Anonymous feedback for each Custom Survey is hidden until at least 5 users have participated in the survey. Once this participant threshold is reached, anonymous feedback won't be blocked for this reason, even if participation changes later on.

  • Anonymous feedback for each individual question becomes visible once 5 team members have answered that specific question. Once this threshold is met, visibility won't be blocked for this reason, even if participation changes later on.

If my team has inactive users, can I still view anonymous feedback?

Yes. Even if your team has inactive Officevibe users, it does not impact the 5-team member requirement to view anonymous feedback. This is because Officevibe inactivity (i.e., users who haven't answered a Pulse Survey question in 30+ days) does not impact whether users are active or inactive on the Workleap platform.
