How onboarding surveys work
The Onboarding Survey is sent automatically 30 days after a new hire’s start date. Once the first survey is triggered, the new hire receives one each week for several weeks.
This recurring cadence allows you to collect feedback as the employee settles in and provides a more complete view of their onboarding experience over time.
New hires can:
Submit feedback anonymously or choose to identify themselves.
Share their thoughts in response to open-ended questions.
Respond to rating-scale questions that help track trends across onboarding cohorts.
You don’t need to manually send or schedule the survey. As long as the hire date is added in Workleap Officevibe, the survey is sent automatically.
Who receives the onboarding survey?
Only new hires receive the Onboarding survey. This applies to any employee added to Workleap Officevibe with a hire date that places them in their first 30 days.
To trigger the survey at the correct time, ensure hire dates are accurate in your HRIS integration or user profile.
How to Update Hire Dates
Manually
Navigate to Settings → Users.
Open the employee’s profile.
Scroll to the Work Details section.
Update the hire date as necessary.
Bulk provisioning
Download the Bulk Provisioning File:
Go to Settings (⚙️) > Bulk Provisioning.
Click the Download File button.
Edit the File:
Open the Excel file and update the Hire Date column for the relevant employees.
Upload the File:
Return to Bulk Provisioning in Workleap.
Upload the updated file by dragging and dropping or using the upload button.
Confirm Upload:
Click Confirm Upload and check for errors via the 'View' link if alerted.
Who can view the onboarding survey results?
Executives have access to the Onboarding dashboard in Workleap Officevibe. This dashboard shows:
Aggregated results for all new hires.
Trends across teams and time periods.
Anonymized written feedback responses.
Team Managers can view written feedback submitted by new hires on their team, but they do not have access to the Onboarding dashboard. They cannot see:
Rating-scale survey results.
Aggregate onboarding data.
This distinction ensures that only Executives can view full survey analytics, while Team Managers gain insights into team-specific feedback—if the anonymity threshold is met.

Can I deactivate the Onboarding Survey?
Yes. To deactivate the Onboarding Survey in Workleap Officevibe:
Click the gear icon at the top right to open Workleap Settings.
In the left-hand menu, go to Product settings → Officevibe.
Click Surveys under the Features section.
Scroll down to Onboarding Survey.
Toggle the switch to turn off the feature.
Once deactivated, new employees will no longer receive the Onboarding Survey.
