The Review Score is one number per reviewee per review cycle in Workleap, rolled up from the rating answers the cycle's formula points to. This article explains how it is calculated, how to set the formula in the cycle's Advanced settings, and how the two 9-box scores, Performance and Potential, are built the same way.
Who can use it: Executives and Collaborators set the formulas. Executives and Direct Managers read the scores (see How do I read the results of one review cycle?). Collaborators can't see scores.
Before you start
The review form has at least one Rating scale question. Scores are computed from rating answers only.
Choose the scale
The scale is the range the Review Score is expressed on, whatever scales the questions use.
Open the review cycle's settings, scroll to Advanced settings, and expand it.
Under Review score, in Scale, pick from Out of 3 to Out of 10. Out of 5 is the default.
Choose the formula
The formula decides which rating answers count toward the Review Score.
Under Formula, pick one:
Average the manager's rating answers (default when the cycle has a manager review): only the manager review counts.
Average every reviewer's rating answers: self, manager, peer, and upward rating answers all count.
Custom formula: you choose which ratings count, and by how much.
For a Custom formula, add one row per input: pick the Question (a rating question of the form, or + Add a rating question), the Review type it is answered in, and optionally a Weight. Select + Add input for more rows. An empty required field is outlined in red and counts as an issue.
How weights work: a row left on Auto gets an equal share of whatever the typed weights leave. With nothing typed, all inputs count equally. A typed weight is between 0 and 1; while at least one row is on Auto, typed weights must total less than 1, and with no Auto row they must total exactly 1. A draft accepts any mix; the cycle can't launch until the weights are valid.
Set the Performance and Potential scores for the 9-box
The 9-box places each reviewee on performance against potential. Each axis is a score of its own, with its own formula, computed the same way as the Review Score.
Under 9-box, check Include a 9-box grid.
Under Performance, pick a scale (Out of 3 by default) and add the Question, Review type, and Weight rows that make up the axis.
Repeat under Potential.
Both axes are optional; a cycle launches without them. They are always custom, and they can draw on any review type, not only the manager review. Unchecking Manager review in the General step clears both. Unlike every other setting, the Performance and Potential formulas stay editable on a locked cycle, since calibration happens after the lock.
How the score is computed
The Review Score of a reviewee is computed from their submitted reviews, in four steps.
Each rating answer is normalized to a value between 0 and 1: the answer divided by that question's highest point. This makes a 3-point and a 10-point question comparable.
Only questions still enabled count. If a question was removed or disabled after people answered, those answers are ignored.
The normalized values are combined according to the formula: averaged across the manager review, across every submitted review, or per custom input then weighted. A custom input with no answer is skipped and the remaining weights are rescaled.
The result is projected onto the chosen scale.
A reviewee with no contributing rating answer, for example because no relevant review was submitted, has no Review Score rather than a zero.
When scores are recalculated
Review Scores are always computed by Workleap; nobody edits them by hand.
When a review is submitted, or a rating answer on a submitted review is changed.
When the cycle launches and when reviewees are added.
When any formula changes on a launched cycle, even a locked one: every reviewee's score is recomputed.
Note: If the form has rating questions and you never set a formula, Workleap uses a default one: the average of the manager's rating answers when the cycle has a manager review, otherwise the average of every reviewer's rating answers, on the most common scale among your rating questions. A formula you set yourself is never replaced.
Limitations and workarounds
No rating question, no score. Add a Rating scale question to the form.
A formula is required to launch as soon as the form has a rating question.
Performance and Potential can't reuse the Review Score. Each axis names its own questions.
Changing a formula after reviews are in recomputes every score in the cycle, including on a locked cycle. Do it before you share results.
