Connect Zoom to the Workleap Agent

Connect your Zoom account, see what the agent can read from your meetings, and how to disconnect.

The Zoom integration lets the Workleap Agent answer questions from your Zoom meetings: AI Companion summaries, meeting notes, cloud recording transcripts and Zoom Docs. You connect with your own Zoom account, and the agent sees only what that account can see. The agent only reads from Zoom. It never schedules, changes or deletes anything.

Before you start

  • A Workleap account with access to the Workleap Agent.

  • Personal integrations allowed in your organization. If Zoom is missing from your Connected apps list, ask a Workleap admin.

  • A Zoom Workplace Pro plan or higher.

  • If your Zoom account restricts which apps users can add, a Zoom admin approves the Workleap Agent app first.

Connect your Zoom account

  1. Open Connected apps from your account settings. In the agent, you can also click Sources, then Connect more sources.

  2. Find Zoom and click Connect. A Zoom window opens.

  3. Sign in to Zoom and click Allow.

  4. The window closes and Zoom shows as connected.

The agent can use Zoom from your next message.

Use the app

Ask the agent about a meeting. It decides when to ask Zoom, and it uses your account.

What the agent can get from Zoom:

  • Your meetings, found by topic, agenda or date

  • A meeting's AI Companion summary, next steps, notes and participants

  • Cloud recording transcripts, to find what was said or decided

  • The content of your Zoom Docs

Examples:

  • "What did we decide in yesterday's roadmap meeting?"

  • "What were the next steps from my last call with Acme?"

  • "What did Sam say about the launch date in last week's team meetings?"

Answers include links that open the meeting, note or document in Zoom. Answers respect your Zoom permissions: the agent can only open meetings, recordings and documents that your Zoom user can open.

Zoom search matches a meeting's topic and agenda, not the words spoken in it. To find what someone said, the agent first finds the likely meetings, then reads their transcripts. Naming the meeting, the people or a date range gets you a faster, more precise answer.

How your data is handled

  • The connection is yours. The agent reads Zoom only when you ask, and only for you.

  • Access is read-only. The agent can't create, change or delete meetings, recordings, notes or documents.

  • Your Zoom account isn't synced or indexed. The agent reads only what it needs to answer your question.

  • What the agent reads from Zoom is saved with that conversation, so you can continue it and its links keep working.

  • To write the answer, Workleap sends your question and the Zoom content the agent read to its AI model providers, under data protection agreements.

  • Workleap keeps technical traces of agent requests, including the content read from Zoom, for up to 90 days to troubleshoot and improve answers.

  • Workleap doesn't use your Zoom data to train AI models.

Disconnect the app

From Workleap

  1. Open Connected apps.

  2. Next to Zoom, click Disconnect.

From Zoom

  1. Sign in to the Zoom App Marketplace and go to Manage > Added Apps.

  2. Next to Workleap Agent, click Remove.

What happens:

  • Workleap deletes your stored Zoom sign-in right away. The agent can no longer read Zoom for you.

  • If you removed the app from Zoom, Workleap may still show Zoom as connected until you click Disconnect.

  • Nothing in Zoom is changed or deleted. Past answers stay in your conversations.

  • You can connect again at any time.

Troubleshooting

Message or symptom

What to do

Zoom is missing from Connected apps.

A Workleap admin turned personal integrations off, or Zoom isn't available for your organization yet. Ask a Workleap admin.

Zoom shows an error when you click Allow, or says the app isn't approved.

Your Zoom account restricts which apps users can add. Ask your Zoom admin to approve the Workleap Agent app.

The agent says Zoom isn't connected, but Connected apps shows it connected.

The app was removed in Zoom, or Zoom revoked access. Click Disconnect, then Connect again.

The agent finds the meeting but no summary or transcript.

Summaries exist only when AI Companion was on for that meeting, and transcripts only for cloud recordings with a transcript. Only the host, or people the host shared with, can open a meeting's assets.

The agent can't find a meeting.

Name the meeting topic or a date range in your question. Check that the meeting opens for your user in Zoom.

Can the agent see other people's meetings?

Only the meetings, recordings and documents your own Zoom user can open.

Can the agent schedule or change Zoom meetings?

No. The integration is read-only.

Does the agent read Zoom Team Chat, Zoom Phone or my Zoom calendar?

No. It reads meetings, recordings, transcripts, notes and Zoom Docs.

Is my Zoom data stored by Workleap?

Workleap stores your Zoom sign-in, encrypted, until you disconnect. The Zoom content the agent reads is saved with the conversation it answered, and in technical traces kept for up to 90 days. Workleap doesn't sync or copy your Zoom account.
