Connect HubSpot to the Workleap Agent

Install the HubSpot integration, connect your account, see what the agent can read, and how to disconnect or uninstall.

The HubSpot integration lets the Workleap Agent read your HubSpot CRM when you ask it a question. You connect with your own HubSpot account, and the agent reads only what that account can open. The integration is read-only: nothing in HubSpot is created, edited, or deleted.


Before you start

  • A Workleap account with access to the Workleap Agent.

  • Personal integrations allowed in your organization. If HubSpot is missing from your Connected apps list, ask a Workleap admin.

  • A HubSpot user account. The first person to connect in a HubSpot account needs HubSpot's App Marketplace Access permission. Super admins have it. After that first connection, other users can connect without it.


Install: connect your HubSpot account

The Install button in the HubSpot App Marketplace brings you to Workleap's Connected apps page. You can also start from Workleap.

  1. Open Connected apps from your account settings. In the agent, you can also click Sources, then Connect more sources.

  2. Find HubSpot and click Connect. A HubSpot window opens.

  3. If you belong to several HubSpot accounts, choose the one to connect.

  4. Review the permissions HubSpot lists, then click Connect app.

  5. The window closes and HubSpot shows as connected.

The agent can use HubSpot from your next message.


Configure the app

There is nothing to configure. The integration has no sync, no field mapping, and no settings of its own. The agent reads HubSpot when you ask, and copies nothing into Workleap.


For Workleap admins

Only organization admins can open the agent settings. Anyone else sees a page-not-found error.

Turn personal integrations on or off for the whole organization: open the agent settings, then Knowledge sources > Personal apps > Manage permission. This setting covers every personal app, not HubSpot alone. Admins cannot see who connected HubSpot and cannot disconnect anyone.


Use the app

Ask the agent a question that involves your CRM. It decides when to read HubSpot, reads it with your account, and cites the records it used, with links back to HubSpot.

What the agent can read:

  • CRM records: contacts, companies, deals, and the other objects your account can open, with their properties

  • Record owners and teams

  • Content analytics and campaign reports

  • Your own HubSpot user and account details

Examples:

  • "Which of my deals are set to close this month?"

  • "Where do things stand with Acme before my call?"

  • "Prepare my 1:1 with Morgan with her open pipeline."

Answers respect your HubSpot permissions. If your HubSpot user cannot open a record, the agent cannot read it. If your HubSpot account has Sensitive Data turned on, HubSpot blocks activity and conversation data for every AI connector, including this one.


How your data is handled

  • The connection is yours. The agent reads HubSpot only when you ask, and only for you.

  • Nothing is synced, copied, or indexed. Answers and the excerpts behind them stay in your own conversations.

  • Your HubSpot data is never used to train AI models.

Disconnect the app

  1. Next to HubSpot, click Disconnect.

What happens:

  • Workleap deletes your stored HubSpot sign-in right away. The agent can no longer read HubSpot for you.

  • Past answers stay in your conversations.

  • Nothing changes in HubSpot. The app stays listed under HubSpot's Connected Apps until someone uninstalls it there.

  • You can connect again at any time.


Uninstall the app from HubSpot

  1. In HubSpot, click the settings icon in the top navigation bar.

  2. In the left sidebar, go to Integrations > Connected Apps.

  3. On the Workleap app, click Actions, then Uninstall.

  4. Type "uninstall" in the text field and click Uninstall.

What happens:

  • HubSpot revokes Workleap's access for every user of that HubSpot account. The agent can no longer read HubSpot for any of them.

  • In Workleap, HubSpot may still appear as connected. Click Disconnect to remove the stored sign-in.

  • Nothing in HubSpot is changed or deleted. Past answers stay in Workleap conversations.

  • To install again, connect from Workleap. The first connection needs a user with App Marketplace Access.


Troubleshooting

Message or symptom

What to do

Couldn't complete the connection. You don't have permission to connect this integration.

The first connection in a HubSpot account needs App Marketplace Access. Ask a HubSpot super admin to grant it, or to connect first.

The agent asks you to reconnect HubSpot and grant permissions.

HubSpot added permissions since you connected. Click Disconnect, then Connect again and accept the permissions.

The agent says HubSpot is not connected, but Connected apps shows it connected.

The app was uninstalled in HubSpot, or HubSpot revoked access. Click Disconnect, then Connect again.

HubSpot is missing from Connected apps.

A Workleap admin turned personal integrations off. Ask an admin.

The agent answers without HubSpot data.

Name HubSpot or the record in your question. Check that the record opens for your user in HubSpot.
