Use this article to read the Onboarding report in Workleap Analytics and see how new hires rate their onboarding. The report shows the overall onboarding score and its trend, participation, results for each metric and question, and the written feedback new hires leave.
Note: Administrators, Executives, and Collaborators can open the Onboarding report. Collaborators see scores and question results, but not written feedback, the written-feedback count, or Analyze Onboarding. Team Managers and employees see the Analytics is restricted page.
Before you start: the Onboarding Survey must be active in Workleap Classic. If it's turned off, the report still shows results collected before that date.
Onboarding Survey data in the report
The Onboarding report uses answers to the Onboarding Survey, a short survey sent to new hires during their first weeks. New hires get it when their hire date is no more than 30 days in the past and the Pulse Survey is active. They receive 5 questions once a week for about 4 weeks, from a fixed set of 20.
The Onboarding Survey is set up in Workleap Classic, including hire dates and turning the survey on or off. See Onboarding surveys.
Open the Onboarding report
To open the Onboarding report:
Log in to Workleap and go to Analytics > Lifecycle > Onboarding.
The Onboarding report opens with the AI summary, the overall onboarding score, and the metrics table.
Filter the Onboarding report
You can narrow the Onboarding report to one group of new hires and one time frame.
In the audience picker, select Everyone, a team, or a saved segment. You can also search for a team or segment.
In the time-frame selector, select one of these: Last 7 days, Last 30 days, Last 3 months, Last 6 months, This quarter, or This year.
Every card in the report updates to match. The time frame is Last 6 months by default.
Read the onboarding score and AI summary
The top of the Onboarding report sums up how new hires rate their onboarding for the audience and time frame you selected.
AI summary: the title gives the current score and its trend. Two or three bullets follow: the strongest metric, the weakest metric, and participation. Rate it with the thumbs up or thumbs down under Was this helpful? When there isn't enough data, the AI summary shows an empty state.
Overall onboarding score: a score from 0 to 10 with a label, and the change compared with the previous period of the same length.
Trend chart: how the onboarding score moved over time. Periods when the Onboarding Survey was turned off are marked Surveys turned off.
Participation: the participation rate, its change since the previous period, and the number of new hires in the group.
Review onboarding metrics and questions
The metrics table in the Onboarding report breaks the score into three metrics: Role & expectations, Onboarding experience, and Culture & connection. Each metric shows its score and its change since the previous period.
To sort the metrics table, select the Metric, Score, or Change column header.
To see the details of a metric, expand its row.
The expanded row shows the metric's score trend, with the same Surveys turned off marking, and a table of its questions. For each question, you see how new hires answered and how many written feedback items they left.
Read new hires' written feedback
Written feedback in the Onboarding report shows what new hires wrote about one question. Only Administrators and Executives can see it.
In the expanded metric row, select the written-feedback count for a question.
In the dialog that opens, select a feedback item.
The Feedback page opens, filtered to onboarding feedback, with that item selected.
Note: Onboarding feedback isn't anonymous. Each written feedback item shows the name of the new hire who wrote it.
Analyze onboarding feedback with the Workleap agent
Analyze Onboarding asks the Workleap agent for a deeper look at new hires' written feedback in the Onboarding report. It goes further than the AI summary, which covers scores and participation.
Set the audience and time frame you want to analyze.
Select Analyze Onboarding.
The Workleap agent opens in a side panel. It gives a summary of the written feedback and suggested actions for that audience and time frame.
Workleap Agent Insight: The Workleap agent only analyzes onboarding feedback when you select Analyze Onboarding. It suggests actions, and you decide which ones to follow.
Export the Onboarding report
You can export Onboarding report data as a CSV or Excel file.
Select Export.
Select CSV or Excel.
The export always covers the last 12 months, whatever time frame you select. It has one row per question for each month. A question shows results for a month only when it has at least 3 answers that month. A month is included only when at least 5 questions meet that minimum. Written feedback isn't included.
Reactivate the Onboarding Survey
When the Onboarding Survey is turned off, a banner at the top of the Onboarding report shows the date it was turned off. Results from before that date stay visible.
In the banner, select Reactivate Onboarding Survey.
In the dialog, continue to Workleap Classic.
Workleap Classic opens on the Onboarding Survey settings, where you turn the survey back on. To get there from anywhere in the report, open the overflow menu and select Manage survey settings.
