In Workleap Performance, a review cycle is the foundation of the performance review process. It’s a structured, time-bound workflow where responses are collected, shared, and managed across your organization. Every performance review—whether self, manager, or peer—takes place inside a review cycle.
When a review cycle is complete, you can lock it and dive into analytics and reporting to find trends and areas for improvement.
Who can manage review cycles?
Only Executives and Collaborators can:
Create, edit, duplicate, or delete review cycles and participants.
Add or remove participants.
Edit existing cycles.
Delete or duplicate cycles.
Select review types and due dates.
Lock and unlock cycles.
Add or edit translations.
Note: Executives can also assign Direct Managers, while Collaborators cannot. Otherwise, both roles have full access to configure and manage the cycle.
Note: Employees must be invited to Workleap before you can add them to review cycles.
Tip: Before creating a cycle, decide which types of reviews best fit your needs and which participants to include. Set up teams and segments in advance to simplify cycle management.
Review types
You can choose one or more review type for each cycle. These can be changed while the cycle is still in draft status.
Available review types:
Self-Assessment: The reviewee evaluates themselves.
Manager Evaluation: The Direct Manager reviews their team members.
Peer Feedback: Colleagues who work closely provide feedback on each other.
Note: After a cycle is launched, review types cannot be edited. To change them, duplicate the cycle and adjust settings before launching the new version.
Autosave
All changes made while building a cycle are automatically saved, ensuring that no work is lost during form creation or setup.
Once a cycle is launched, autosave is disabled to preserve finalized content and prevent accidental changes from affecting participants.
Set your review cycle audience
You can filter and add reviewees to a cycle by:
Team.
Segment.
Individual members.
Entire organization.
Things to note:
A maximum of 100 reviewees can be added at once using team, segment, or individual filters.
You can exclude specific people or groups if needed.
The total count shown reflects only reviewees, not all participants (e.g., reviewers or assigners).
Definitions
Participant: Anyone involved in the cycle (reviewer or reviewee).
Reviewee: The person being reviewed.
Note: Any user can be assigned as a peer reviewer, regardless of role.
Review schedule and submission rules
All reviews should be submitted by the due date.
Late submissions are allowed until the cycle is locked.
Peer reviewer suggestions
Workleap Performance suggests an ideal number of peer reviewers per reviewee to support balanced feedback.
Assigners (Executives, Collaborators, or Direct Managers) can select 1-50 suggested peers per reviewee.
The suggestion is a guideline, not an enforced limit (i.e., Direct Managers can still submit a peer review even if they have less than the suggested amount of peer reviewers).
Build your review form
You can add multiple sections and questions to define what will be evaluated.
Supported question types:
Rating scale: Customizable scale-based responses.
Text: Open-ended feedback.
Multiple choice: Predefined options.
Important details:
All questions are mandatory.
Optional or conditional questions are not supported.
Questions can be reordered or duplicated.
Each question can be customized by audience type (Manager, Peer, Self).
You can rephrase questions by audience to improve clarity and tone.
Change cycle settings during a cycle
You can make changes as long as the cycle is not locked:
Update due dates, even after the deadline.
Add or remove participants (removed participants are hidden, but data is retained).
Edit sections and questions (affects in-progress and submitted reviews).
Caution: Once locked, no edits or submissions are allowed unless the cycle is manually unlocked.
Delete a review cycle
Deleted cycles are:
Removed from participants' views.
Not recoverable.
Fully erased from the database.
Participants are not notified when a cycle is deleted.
Organizational updates during a cycle
Workleap Performance tracks organizational changes to ensure review consistency:
Manager updates: New Direct Managers inherit the same access level as their predecessor.
Single-editor rule: Only one Direct Manager can submit each review.
Team changes:
New members are added automatically.
Removed members' data is hidden but saved.
Can reviewers and reviewees edit responses after submission?
Edits are allowed after submission until the cycle is locked.
When a review cycle is locked:
No edits are possible.
Data remains static for analytics and reporting.

Use performance analytics view to analyze:
Rating trends.
Team or segment comparisons.
Employee-Direct Manager response deviations.
A review cycle groups average responses for multiple-choice questions.

From the cycle management view, you can:
Track submission status.
Update or lock the cycle.
Unlock if adjustments are needed.
Export cycle data.
Lock or unlock a cycle
Only Executives and Collaborators can manually lock or unlock a cycle.
Unlocked cycles: Allow late submissions and edits.
Locked cycles: No changes or submissions allowed.
Locking a cycle protects data and ensures accurate analytics.
Caution: Locking ensures consistency even if org structures change after launch.
Translate your review cycle
Enable French translation during cycle setup:
Form creators see the form in the organization's default language.
Participants see the form in their preferred language.
Export review cycle data
You can export all review data, including:
Reviewees.
Responses.
Submission dates.
This creates a complete performance record for your organization.
