In Workleap Performance, a review cycle is a time-bound process for gathering and sharing employee performance feedback.

All reviews are part of a review cycle. Executives and Collaborators with permission, can:

  • Create new review cycles

  • Add or edit sections and questions

  • Add or remove participants

  • Add or edit translations

  • Select review types

  • Select due dates

  • Lock or unlock review cycles

  • Delete review cycles

Create a Cycle

Permissions

Only Executives and Collaborators can create, edit, delete, or duplicate a review cycle. These roles have full control over the cycle’s configuration and lifecycle.

Review Types

Users can select one or more types based on the cycle's goals. Review types can be modified while the cycle is still in draft.

Available review types

  1. Self-Assessment: Reviewees complete an assessment of themselves.

  2. Manager Evaluation: Direct Managers assess their direct reports.

  3. Peer Feedback: Peers who work closely together assess each other.

Note: The review type cannot be edited directly after a cycle is launched.

To make changes, users can duplicate the cycle, adjust the review types, and launch a new version.

Autosave

All changes made while building a cycle are automatically saved, ensuring that no work is lost during form creation or setup.

Once a cycle is launched, autosave is disabled to preserve finalized content and prevent accidental changes from affecting participants.

Review audience

Reviewees can be selected from teams, segments, or individual members, and the entire organization can be included. While there’s no limit to the number of reviewees per cycle, a maximum of 100 entries can be added at a time when selected by the team, segment, or individual member. Users can also exclude specific individuals or groups for greater flexibility.

The total count reflects the number of reviewees included in the cycle, not the full list of participants such as reviewers or assigners.

Definitions

  • Participant: Anyone involved in the cycle as a reviewer or reviewee.

  • Reviewee: The individual being evaluated.

Note: Any user, regardless of role or inclusion in the cycle, can be assigned as a peer reviewer. Review cycles can include the entire organization, specific teams, segments, or individual members.

Review schedule and options

  • Reviews should be submitted before the due date.

  • Overdue reviews can be submitted until the cycle is locked.

Number of peers suggested

To support a balanced peer review process, the system suggests an optimal number of peer reviewers for each direct report. This recommendation is intended as a guide and is not enforced.

Assigners—whether Executives, Collaborators, or Managers—can nominate 1 to 50 peers per reviewee based on what’s most appropriate for their team.

Sections and Questions

  • Add multiple sections to organize assessment criteria.

  • Include section descriptions to provide context.

  • Duplicate sections and questions to streamline setup.

  • Supported question types:

    • Rating scale: Questions answered using a customizable rating scale.

    • Text: Questions answered via an open-ended text box.

    • Multiple choice: Questions answered by selecting from preset options.

  • All questions are mandatory.

  • Optional or conditional questions are not supported.

  • Reorder and duplicate questions as needed.

  • Each question’s audience can be customized based on the selected review types—Manager, Peer, or Self.

Tip: Users also have the option to rephrase questions for each audience to ensure relevance and tone are appropriate.

Changes During a Cycle

Updating a Review Cycle

  • Due dates can be changed anytime before the cycle is locked, including after the original deadline.

  • Participants can be updated before locking. Removing a participant hides their data in the app but retains it in the database.

  • Sections and questions can be edited before locking. Changes apply to both in-progress and submitted reviews.

Deleting a Review Cycle

  • Deleted cycles are removed from participants' views without notification. All submitted data is permanently lost.

Organizational Changes

  • Manager updates: New managers automatically gain access to reviews started by previous ones.

  • Single-editor rule: Only one Direct Manager can complete a review at a time.

  • Team updates:

    • New team members are added to the cycle automatically.

    • Removed members' data is hidden from view but saved in the system.

Review edits post-submission

  • Late edits are allowed before the cycle is locked, which is useful for calibration.

  • Once locked by an Executive or Collaborator, no further edits are allowed.

Data Availability

All review types (self, manager, peer) within a cycle are visible in Cycle Details. Executives and Collaborators have access to all participant data, while Direct Managers can view data for their direct reports only.

Cycle analytics

Analytics deliver in-depth visibility into review cycle results, enabling users to evaluate rating trends and group comparisons. Filters and export options support informed, data-driven decisions.

Persisted Reviewee Cycle Participants

Improve the reliability of performance cycles, as participant data is stored directly in the system once a cycle is launched. This ensures that reviewee and reviewer information remains stable, even if organizational changes occur—such as team reassignments or manager transitions.

Reviews already submitted will remain visible, and reporting accuracy will be preserved.

Note: This improves performance by eliminating delays caused by real-time data retrieval.

Cycle details (management)

Users can manage the cycle from the Management tab, including updating, locking, or unlocking it. Real-time tracking helps monitor submission status, identify delays, and maintain review timelines.

Lock a cycle

Only Executives and Collaborators can manually lock or unlock cycles. Cycles do not lock automatically.

Unlocked cycles allow late reviews after the due date. Once locked, no submissions or edits are allowed unless the cycle is manually unlocked. Cycles can be unlocked at any time for adjustments.

Caution: Locking a cycle preserves review data, ensuring stability even if org structures change. This supports accurate records and reliable analysis.

Translate your cycle

Activate the language option to enable French translation within the same form.

  1. Users creating the form will view it in the organization’s language.

  2. Users completing the form will see it in their preferred language.

Export

Users can export detailed data for a specific review cycle, including all reviewees, their responses, and submission dates, for a complete performance record.
